Position Summary
The Payroll Tax Specialist III processes all aspects of payroll tax, providing a high level of customer service. This position oversees, implements, and maintains payroll and tax systems related to taxes and procedures for an assigned client load portfolio. This individual maintains frequent communication with clients and other departments, assisting with the process of obtaining information for payroll production and tax related issues; verifies totals, responds to/resolves client questions and problems, and delivers quality customer service. In addition, be responsible for all Payroll Tax liabilities and tax reconciliation. Must be comfortable working in fast paced environment.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- New client setups in tax software which may include but not limited to ensuring accurate tax code setup, bank account setup, tax rates, EINs, importing historical data, working with clients to obtain tax POAs and TPA access, EFTPS enrollment
- Work with Agencies to establish TPA accounts and complete required testing by agency.
- Amendment processing
- Cash care and bank reconciliation for payroll taxes, ensuring accurate processing of refunds, collections, and NSF transactions
- Process tax payments for checks, debits, and credits to tax agencies, including utilizing the EFTPS system and filing the necessary tax coupons.
- Interim quarter filings on a weekly basis
- Manage Quarter and Year-End tax filings, including conducting variance reviews.
- Data exchanges with agencies.
- Verify and maintain the accuracy of tax program setup.
- Collaborate with other departments to ensure accurate tax filings and completion of payroll adjustments.
- Manage tickets by conducting research, communicating with clients, coordinating with agencies, and handling abatements.
- Generate a weekly report on “Applied For EINs,” collaborate with team members and clients to gather necessary details, and update records accordingly.
- Ensure a high rate of client retention by delivering exceptional and reliable service.
- Stay up to date with payroll processing systems and changes in wage and tax laws while coordinating with federal, state, and local tax agencies on behalf of clients.
- Maintain all client files in compliance with internal procedures and organizational standards.
- Foster and maintain positive working relationships with clients and coworkers to uphold a strong service reputation and ensure quality interactions.
- Develop and maintain internal Standard Operating Procedures (SOPs) to ensure consistency and efficiency in processes.
- Researching and resolving account and payroll-related questions, concerns, and problems for clients in a friendly and timely manner
- Overtime work may be required during quarter end and year end reconciliation months
- Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Associates degree in accounting, business, or a related field; or equivalent combination of education and experience
- 2 years of accounting experience or similar work environment
- Strong organization, oral, and written communication skills
- Ability to work independently and manage multiple projects and deadlines
- Strong computer aptitude, which includes expertise with Microsoft Excel and Word as well as experience with accounting software is a must
- Ability to analyze data with attention to detail
- Demonstrated expertise in customer service and problem resolution, with a strong customer service orientation
- Experience with UKG and MasterTax systems.
- Ability to maintain accuracy and attention to detail while working efficiently in a fast-paced environment.
- Ability to think independently and proactively resolve issues.
- Strong understanding of payroll tax regulations, analytical skills to research and resolve discrepancies, and proficiency in payroll tax systems to troubleshoot tax-related issues effectively.
