Position Summary
The Payroll Tax Specialist I is responsible for processing all aspects of payroll tax and liabilities with an emphasis on tax account reconciliation. This role ensures accuracy in tax funding activity, monitors and clears exceptions in MasterTax, researches unresolved transactions, uploads BAI files, and manages the NSF resolution process for client tax accounts. This individual also supports quarter-end and year-end tax processes and communicates with agencies to resolve issues. Success in this role requires analytical thinking, attention to detail, and proactive problem-solving in a fast-paced environment.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
• Monitor and clear payroll tax transactions within MasterTax.
• Upload and review BAI files to reconcile funding activity.
• Identify and research unmatched or unresolved transactions.
• Ensure tax funding aligns with scheduled deposits and resolve variances.
• Support NSF processing, including follow-up actions and internal notification.
• Research and resolve payroll tax notices and service tickets.
• Communicate with federal, state, and local tax agencies.
• Perform reconciliations and exception clearing during quarter-end and year-end periods.
• Ensure timely filings and payment processing compliance.
• Stay current with changes in tax laws and payroll compliance regulations.
• Ensure all actions taken align with applicable tax agency requirements.
• Maintain accurate reconciliation records and transaction logs.
• Support audit readiness through timely and complete documentation.
• Serve as a liaison to the Accounting Team to support interdepartmental functions as needed.
• Partner with internal teams to streamline reconciliation workflows.
• Share knowledge and assist with training other team members.
• Perform other duties and special projects as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
• Bachelor’s degree in Accounting, Business, or a related field; or equivalent combination of education and experience.
• 3 years of experience in payroll tax, accounting, or bank reconciliation.
• Hands-on experience performing bank reconciliations, including research and clearing of exceptions required.
• Experience with MasterTax and/or UKG (Kronos) required.
• Familiarity with quarter-end and year-end payroll tax processes.
• Strong Excel skills; comfort working with BAI files and transaction-level data.
• Excellent organizational and analytical skills.
• Strong written and verbal communication abilities.
• Ability to work independently and manage multiple priorities.
