Office Administrator

The Office Administrator is responsible for supporting the daily administrative, operational, and organizational needs of Green Landscape Solutions. This role helps keep the office, fleet, job materials, vendor paperwork, receipts, supplies, and company records organized and up to date.

This is a hands-on support role for someone who is organized, dependable, detail-oriented, and comfortable helping wherever needed. The Office Administrator plays an important part in keeping the company running smoothly by supporting accounting, operations, fleet administration, purchasing, filing, and special projects.

Key Responsibilities

Administrative Support & Organization

  • Maintain organized office files, folders, forms, receipts, registrations, insurance documents, and vendor paperwork
  • Create new file folders and job folders as needed
  • Make copies of forms and documents as requested
  • Assist with general filing and document organization
  • Support leadership, accounting, and operations teams with administrative tasks
  • Help maintain a clean, organized, and professional office environment

Fleet, Equipment & Compliance Support

  • Assist with fleet renewal and vehicle documentation
  • Create and maintain registration and insurance documents for trucks, trailers, and equipment
  • Ensure all trucks and trailers have current registration and insurance documents
  • Help confirm trucks and trailers are equipped with required fire extinguishers and first aid kits
  • Maintain current Certificates of Insurance for vendors
  • Assist with H-2B paperwork and related documentation as needed
  • Help organize equipment areas and identify items that should be repaired, stored, used, or disposed of

Accounting & Receipt Support

  • Reconcile company credit cards and follow up with employees for missing receipts
  • Enter credit card receipts and sales receipts as needed
  • Reconcile vendor statements and help follow up on missing receipts
  • Cut checks when needed
  • Print outstanding invoices during reconciliation
  • Print Amazon receipts when needed
  • Assist with entering receipts when accounting staff is overloaded
  • Support accurate tracking of job materials, inventory, and expenses

Operations Support

  • Assist with utility locate requests and enter documentation in the proper Dropbox folders
  • Assist with portable restroom coordination and enter documentation in the proper Dropbox folders
  • Coordinate dumpster service as needed, including monthly Waste Management service and as-needed Western service
  • Help track and organize incoming job materials
  • Maintain dedicated spaces for project materials so they are clearly separated from equipment and general inventory
  • Support inventory counting when needed

Office, Shop & Supply Management

  • Use a weekly checklist to inspect office, bathroom, and shop supplies
  • Order supplies from Amazon, Costco, or other vendors as needed
  • Help organize shop areas, including seed bins, lighting shelves, job materials, and maintenance items
  • Identify materials that need to be used, organized, repaired, or discarded
  • Help maintain a clean and functional office, shop, and storage environment

Special Projects

  • Assist with company-wide organization and cleanup projects
  • Support fleet renewal projects
  • Help improve systems for document storage, inventory, job materials, and equipment organization
  • Coordinate with team members to resolve administrative or operational issues
  • Take on additional projects as assigned by leadership

Qualifications

  • 2 years of administrative, office management, bookkeeping, or operations support experience preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and follow up consistently
  • Comfortable working with paperwork, receipts, invoices, registrations, and insurance documents
  • Proficient with Google Workspace, Microsoft Office, Dropbox, email, and basic office technology
  • Basic accounting or bookkeeping experience preferred
  • Ability to communicate professionally with employees, vendors, and leadership
  • Able to work independently and take initiative
  • Comfortable assisting in both office and shop environments
  • Valid driver’s license preferred
  • Bilingual English/Spanish preferred but not required

What Success Looks Like

  • Office documents, receipts, registrations, insurance records, and vendor files are accurate and up to date
  • Credit card receipts and vendor statements are reconciled consistently
  • Missing receipts and paperwork are followed up on promptly
  • Trucks, trailers, and equipment have proper documentation and required safety items
  • Office, bathroom, shop, and supply areas are stocked and organized
  • Job materials and equipment are clearly separated and easy to locate
  • Leadership and accounting teams receive reliable administrative support
  • The office and shop operate more smoothly because systems are organized and maintained

Employment Classification

This is a permanent position. Classification as exempt or non-exempt will be determined based on the final compensation structure, duties, and applicable federal and Colorado wage and hour laws.
