Founded in 1979, Green Lake Festival of Music was formed to bring great music to this beautiful part of Wisconsin. The Festival’s mission is to entertain, inspire, and educate through musical performances and experiences of the highest quality.
Green Lake Festival is seeking someone with intelligence and passion for the arts to join the staff serving the mission of the Festival beginning November 2025. This is a year-round, part-time (full-time May 16-August 15), locally-based position. GLFM’s good faith estimated range of a starting salary for this position is $30,000 to $34,000.
JOB Expectations (could be expanded or reduced based on the skills and experience of the successful candidate)
Administrator, Green Lake Festival of Music
Primary Responsibilities
- Work closely with Executive/Artistic Director on all aspects of Festival
- Be present at Festival events during the summer season and Board meetings throughout the year
- Stay current with best practices of non-profit arts organizations
- In consultation with Accountant and Treasurer, maintain state and federal tax filings
- Oversee Guest Artist housing, Transportation, and Hospitality
- Research appropriate grants and attend grant roundtable discussions
- In consultation with Executive/Artistic Director, write government, foundation, corporate grant proposals, and post-grant reports.
- Promote GLFM at every opportunity
Office
- Assist with budget planning and management
- Monitor phone and email
- Lead all communications to artists, audience, students, board and event participants
- Lead communications with Program Directors regarding needs
- Maintain and Communicate Participant information with Program Directors
- Coordinate and Manage Festival Volunteers
- Hire and Supervise Interns
- Assist Assistant/Associate Administrator inputting and managing online registration information
- Approve Invoices and research corrections as necessary
- Schedule meetings, create reports, agendas, take minutes, and distribute to the board
- Administrative duties including but not limited to filing, copying, binding, scanning, mailing, etc.
- Execute mailings for fund drives, donor letters, advertising materials, and year-end tax-exempt receipts
- Make bank deposits, record donations, and prepare acknowledgement letters
- Maintain Legacy, donor, volunteer information/database and create reports as needed
- Prepare and send artist contracts as advised by Executive/Artistic Director
- Create, distribute, and analyze surveys
- Order and distribute music
- Maintain office equipment and supplies
Marketing
- Work closely with Marketing Consultant
- Maintain third party event calendars
- Collect information for online and print brochures including programs, donor list, directory, artist bios and photos
- Solicit and invoice ads for program book
- Engage creator for layout for program book, schedule of events, posters, event cards, and other marketing materials
- Coordinate printing and distribution of marketing materials
- Make recommendations, design, and order promotional merchandise
- Communicate with community and senior groups for event attendance
Events and Programs
- Lead and attend all events, set-up and tear down, manage donation and merchandise tables, drawings, signage, Green Room, program distribution, lighting, sound and receptions
- Arrange stage management, attending to the needs of the director, conductor, and artists
- Manage event timelines, rehearsal, and performance details with event/Program Directors and performers
- Arrange housing and transportation for CMI participants, faculty, and artists
- Reserve and manage venues, contracts, and invoicing
- Arrange catering and food services, contracts, and invoicing
- Manage equipment rentals, transportation, piano tuning, audio/visual, contracts, and other event needs
- Create and execute checklist and information packets for Institutes and Programs
- Arrange printing and timely distribution of artist pay per contract
- Engage and manage volunteers
Community Engagement
- Develop relationships with area musical and educational organizations
- Develop relationships with the broader musical community through musical associations
- In consultation with Executive/Artistic Director, plan engagement concerts
- Maintain memberships with area Chambers of Commerce
Skills, Experience, and Qualifications
- Advanced knowledge of and experience with high quality music, including classical, jazz, folk, and theatrical in choral, symphonic, chamber, and solo settings.
- Demonstrated experience in mission-driven administration
- Intellectual curiosity and committed attention to details
- Enjoyment working with diverse artists, repertoire, and audiences
- Advanced computer/technological skills
- Comfort collaborating with colleagues remotely
- Ability to treat everyone in our community with a professional, welcoming respect
- Commitment to approach everything with honesty and integrity
- Patience with those learning about art music
