Responsibilities Include:
- Create and process purchase orders for ingredients, liners, cardboard totes, and drop shipments to support production and distribution.
- Communicate effectively with internal stakeholders, customers, and vendors regarding order status, ship dates, product allocations, and logistics.
- Provide responsive and efficient support to Commercial Managers and internal departments on procurement-related inquiries.
- Works closely with a Purchasing Coordinator and team members to oversee daily operational activities.
- Manage and file purchasing documentation using Docuware or other document management systems.
- Assist in designing and implementing key processes and systems; ensure timely delivery and accurate dashboard reporting.
- Receive and process bills of lading (BOL) and accurately post shipment records.
- Prepare and issue monthly settlements to vendors and clients.
- Maintain and update customer data in the GFS Client Portal for purchasing accuracy.
- Execute New Item Set Up processes to support product onboarding.
- Support Accounts Payable by reconciling ingredient-related invoices; resolve price and weight discrepancies with vendors.
- Monitor vendor payments periodically and follow up on any outstanding or missing invoices.
- Collaborate with plant staff and cross-functional departments to ensure streamlined purchasing operations.
The successful candidate must have the following qualifications:
- Bachelor’s degree in Supply Chain, Business Administration, or a Purchasing related field, or equivalent work experience.
- Minimum 3 years of experience in purchasing or supply chain coordination role.
- An understanding of procurement processes and vendor management.
- Excellent communication and interpersonal skills.
- High attention to detail, organization, and time management.
- Understanding of and experience with Microsoft Excel.
Preferred Skills:
- Proficiency in Microsoft Business Central.
- Experience with document management systems such as Docuware.
- Knowledge of dashboard/reporting tools for procurement KPIs.
- Experience in food manufacturing or ingredient procurement.
