Job Summary:

The Human Resources Assistant is responsible for various Human Resource functions. This includes a variety of responsibilities such as: administrative functions, recruiting, on-boarding, worker's compensation, safety team planning, and benefits administration. This HR Assistant serves as a back up to the Administrative Assistant who covers the agency front desk. The HR assistant is also providing administrative and clerical support on a daily basis to the CEO and senior management team, if needed.

Education and Experience:

Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience considered. Bachelor’s Degree and previous Human Resources or office experience preferred.


Supervisory Responsibilities: None


HR Assistant Duties/Responsibilities: include the following. Other duties may be assigned.


1. Educate and communicate company personnel policies and procedures to newly hired and current employees.

2. Responsible for on-boarding newly hired employees to include: employee handbook overview, employment documents, and benefit enrollment.

3. Create and maintain complete and confidential files on each employee.

4. Process, verify, and maintain documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations, and classifications.

5. Assist with company benefit administration to include enrollment forms, plan questions, claims resolution, and open enrollment.

6. Establish and maintain department records and reports; recommend new approaches, policies and procedures to effect continual improvements in efficiency and services performed.

7. Respond to applicant inquiries in-person, over the phone and via email.

8. Process and review employment applications to evaluate qualifications and eligibility of applicants.

9. Assists in managing worker's compensation injury claims. File reports with insurance provider, maintain accident information and monitor progress.


10. Respond to various information requests from governmental agencies, such as Unemployment, DOL, Workers Compensation, etc. in a timely manner.

11. Record and maintain data for each employee, including such information as addresses, weekly earnings, absences, supervisory reports on performance, change of statuses, and dates of and reasons for terminations.

12. Answer questions regarding eligibility, salaries, benefits, and other pertinent information.

13. Examine employee files to answer inquiries and provide information to authorized persons.

14. Compile data from personnel records and prepare reports.

15. Interact with clients, vendors, visitors, and Board of Directors

16. Answer and screen telephone calls, and arranges conference calls, when needed.

17. Attend Board meetings or other meetings as requested to take minutes

18. Review bi-weekly payroll.

19. Enter new staff in the payroll and time card system.

20. Enter staff changes in Payroll, such as, wage changes, position changes, insurance enrollment and benefit time.


HR Assistant Required Skills/Abilities

1. Ability to work independently with little supervision required.

2. Ability to remain calm while working under pressure in a busy environment.

3. Ability to work within parameters of standard policies and procedures.

4. Ability to maintain confidentiality related to sensitive company and employee information.

5. Thorough knowledge of HR principles and federal/local regulations.

6. Excellent ability to multi task and prioritize in a busy, fast-growing environment.

7. Proficiency in MS Word, Excel, and Power Point is essential.

8. Exhibit extraordinary discretion, confidentiality, flexibility, and willingness to work closely with our team.

9. Ability to interact and communicate with individuals at all levels of the organization as well as clients from various socioeconomic backgrounds.


HR Assistant Physical Requirements:

While performing the duties of this Job, the employee is regularly required to sit; use hands, and talk or hear. The employee is frequently required to stand and walk. The employee is occasionally required to reach with hands and arms; climb or balance and stoop, or kneel. The employee must regularly lift and /or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and distance vision.
