Job Summary
The Appointment Scheduler is responsible for coordinating patient appointments, ensuring efficient scheduling of orthopedic services, and providing excellent customer service. This role serves as a key point of contact for patients, helping manage provider schedules and maintaining smooth office operations.
Key Responsibilities
- Schedule, reschedule, and cancel patient appointments for orthopedic providers (surgeons, physician assistants, etc.)
- Answer incoming phone calls and respond to patient inquiries in a courteous and professional manner
- Verify patient information, insurance details, and referral requirements
- Coordinate appointments based on urgency, provider availability, and type of visit (e.g., new patient, follow-up, post-op)
- Ensure proper documentation of all scheduling activities in the electronic medical record (EMR) system
- Communicate appointment details, preparation instructions, and office policies to patients
- Manage appointment waitlists and fill cancellations efficiently
- Collaborate with clinical staff to accommodate urgent or same-day appointments
- Maintain confidentiality of patient information in compliance with HIPAA regulations
- Assist with front desk duties as needed (check-in/check-out support)
- Chart Prep to ensure all required testing/op notes are in the chart
Qualifications
- High school diploma
- Previous experience in medical scheduling, preferably in an orthopedic or specialty clinic
- Familiarity with EMR/EHR systems and scheduling software
- Knowledge of medical terminology, especially orthopedic terms, is a plus
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
