Qualifications: 1. Minimum of High School Diploma or equivalent.
2. Ability to perform several tasks concurrently with ease and professionalism, while meeting critical deadlines.
3. Ability to skillfully utilize Excel, Microsoft Office Suite programs and other web-based programs.
4. Ability to communicate clearly and concisely, verbally and in writing.
5. Ability to keep employee and student matters strictly confidential.
6. Ability to provide excellent customer service through highly proficient interpersonal skills.
Definition: The Administrative Assistant for Athletics performs a wide variety of duties, including scheduling, meticulous record keeping, clerical, accounting and budgets, and personnel-related matters.
Essential Functions:
A. CLERICAL
- Responsible for all correspondence from the Athletic Director's Office.
- Responsible for team rosters.
- Work with Schedule Star, Excel, and HR database systems.
- Maintain student-athlete information in student database for all sports.
- Generate and update forms as needed.
- Receive all phone calls and mail; route as appropriate and/or takes appropriate action.
- Organize sports photos.
- Maintain athletic packets and handbooks.
- Schedule transportation for student athletes for away competitions.
- Responsible for updating coaches on trainings, meetings, and schedule changes.
- Responsible for Awards presentations and preparation of such.
B. ACCOUNTING
- Generate purchase orders, including ordering and distributing materials and payment of invoices.
- Prepare deposits and all corresponding paperwork for gate receipts, meets, and ticket reconciliation.
- Collection of pay-to-participate fees and reconciliation with Treasurer's Office.
- Complete and submit yearly inventory.
C. OTHER
- Performs other duties as assigned.
