Job Summary

The Recruitment Coordinator works under the direction of the Recruitment & Retention Manager (RRM) and provides recruitment support using ADP Recruitment and LinkedIn systems. This role is responsible for maintaining recruitment workflow efficiency, assisting with sourcing activities, and ensuring accurate candidate tracking throughout the recruitment process, all within a defined support capacity. A key focus of this position is supporting efforts to expand GBMS’s visibility to attract qualified, mission-aligned professionals who support community health goals. The ideal candidate is an energetic relationship-builder, eager to learn, comfortable taking direction, and able to work independently when needed while remaining in a support role under the RRM. The Recruitment Coordinator also supports onboarding activities and recruitment-related tracking processes using ADP and other systems to help streamline operations and support workforce retention efforts.

Essential Duties and Responsibilities

The Recruitment Coordinator provides administrative and operational support to the Recruitment & Retention Manager (RRM) in recruitment, sourcing, onboarding coordination, retention support, and applicant tracking activities. This role supports recruitment initiatives and workforce pipeline efforts while maintaining efficient workflows and a positive candidate experience. The Recruitment Coordinator does not serve as the primary recruiter and works strictly under the direction of the RRM.

Recruitment Support & Sourcing Assistance

  • Assist the RRM with candidate sourcing activities using approved platforms including ADP, LinkedIn, and other assigned tools.
  • Utilize search filters, keywords, and sourcing tools to identify candidates aligned with organizational hiring needs.
  • Review resumes for qualifications, credentials, and experience and flag qualified candidates for RRM review.
  • Forward candidate profiles and sourcing recommendations to the RRM for outreach and follow-up.
  • Maintain job postings and recruitment workflow activity within the Applicant Tracking System (ATS).
  • Enter, update, and maintain accurate candidate records, statuses, and recruitment documentation in the ATS.
  • Assist with recruitment reporting, sourcing metrics, and applicant tracking activities as assigned.
  • Coordinate interview scheduling and candidate communications as directed by the RRM.
  • Co-manage new job requisitions and assist with recruitment administrative processes.
  • Assist the RRM with academic outreach, workforce pipeline initiatives, and community partnership activities to strengthen mission-aligned recruitment efforts.

Onboarding & Recruitment Operations Support

  • Assist the RRM with onboarding and orientation activities by coordinating with HR and Operations to support a smooth and organized new hire experience. This includes assisting with communication, scheduling, onboarding materials, orientation preparation, and related administrative support to ensure new hires are welcomed, informed, and prepared from day one. The RRM retains primary responsibility for onboarding program execution.
  • Must conduct candidate outreach activities by completing a minimum daily volume of approximately 50 recruitment calls, 50 text messages, and 50 emails to support candidate engagement and pipeline development.
  • Utilize ADP and other approved HRIS/ATS systems to support candidate tracking, onboarding workflows, onboarding module setup, digital file maintenance, and recruitment documentation under the direction of the RRM.
  • Assist with tracking pre-employment requirements, background checks, onboarding checklists, and credentialing documentation to support timely and compliant hire completion.
  • Assist with recruitment logistics including interview scheduling, job posting maintenance, and recruitment reporting as directed by the RRM.
  • Prepare onboarding materials, orientation packets, and new hire folders as needed.
  • Conduct recruitment-related follow-up activities including calls, emails, and text communications using approved systems such as ADP and RingCentral under the guidance of the RRM.
  • Assist the RRM by providing administrative and coordination support for workforce retention and employee engagement initiatives, including recognition activities and retention planning support.
  • Coordinate with the RRM to send and track new hire check-in surveys at 30, 60, and 90-day milestones.
  • Provide administrative and clerical support including filing, scanning, copying, and maintaining recruitment records.
  • Assist the RRM with academic outreach and workforce pipeline activities as assigned. This includes sending connection letters, coordinating outreach communications, and supporting scheduling of meetings and site visits with academic and community partners.
  • Assist with calendar management for the RRM including scheduling interviews, sourcing time, meetings, follow-ups, and site visits as directed by the RRM.
  • Support scheduling and coordination of internal meetings and assist with rescheduling or updates as directed by the RRM.
  • Assist with meeting prep such as agendas, notes, and reminders as directed by the RRM.
  • Maintain professionalism, organization, and confidentiality in all recruitment-related activities.
  • Perform additional recruitment support duties as assigned by the RRM or Supervisor.

Technical & Professional Skills

Support recruitment visibility by assisting with digital media tools and social platforms to support recruitment postings, employer branding efforts, and promotion of GBMS culture and mission-based messaging under the direction of the CEO in coordination with the Recruitment & Retention Manager.

Education

  • Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
  • Equivalent combination of education and professional experience may be considered.
  • Substitutions require a minimum of 5 years of verifiable success in healthcare recruitment, talent acquisition, or candidate sourcing.

Minimum Qualifications

  • Experience in a healthcare environment, Federally Qualified Health Center (FQHC), or mission-driven nonprofit strongly preferred.
  • Experience using ATS systems such as ADP Recruitment, LinkedIn Recruiter, or similar platforms preferred.
  • Strong organizational, communication, and administrative support skills with ability to manage multiple priorities and maintain accurate records.
  • Ability to maintain professionalism, confidentiality, and accuracy in all recruitment support functions.

Work Environment

Standard office environment with routine use of computers, phones, and office equipment.

Physical and Mental Demands

Includes sedentary work, frequent computer use, multitasking, frequent communication, ability to manage interruptions, adjust priorities, and perform basic physical office tasks including light lifting (up to 25 lbs).

Language Skills

Ability to read, interpret, and communicate written and verbal instructions effectively with employees, candidates, and stakeholders.

Compliance

Must comply with Greater Baden Medical Services policies, compliance standards, and Code of Conduct.

Travel

Must be able to travel between GBMS locations as needed.
