Description
The Payroll Specialist performs an essential role of supporting payroll operations to the highest operational standards and excellence. Performs bi-weekly payroll process for 2300 employees nationwide at the instruction of the Payroll Manager. Review Payroll entries for accuracy and ensure all items on the checklist have been audited and completed prior to processing. This position works Tuesday – Saturday to meet customer business needs.
Essential Functions:
- Checks timesheets for accuracy
- Processes wage garnishments
- Maintains employee records, such as contact information, job titles, salaries, and tax withholding information.
- Ensuring payroll activities comply with federal, state and local laws and regulations
- Investigates and resolves any discrepancies or issues related to payroll
- Maintains payroll systems, consolidating timesheet information and entering data into payroll databases
- Maintains and manages relationships with employees and external vendors
- Keeping up with changes in tax law and discussing potential impacts with Payroll Manager
- Continually improving payroll processes
- Create and process various employee payroll reports for updated and accurate employee information
- Assist Payroll Manager with urgent or time-sensitive projects as needed
- Processes terminations timely in compliance with state final pay laws
- Troubleshoots and resolves missing time reporting, reports of errors in pay, missed pay
- Coaches and guides managers about compliant pay practices
- Coaches and guides managers in the PAF workflow or with basic time management issues
- Provides needed data for unemployment claims and hearings, and wage withholding orders or income verification
General Functions:
- Replies promptly to managers and employees payroll questions and resolves issues that arise
- Provides additional back-up coverage of payroll services for payroll colleagues during their absence
Qualifications:
- At least two (2) years of experience in processing the day-to-day Paycom transactions, in a multi-state payroll environment
- Experience with payroll in a Retailor or multi-unit environment
- Ability to keep up to date on various state and federal payroll laws, and best practices
- Ability to process wage and medical garnishments
- Familiarity with human resource policies and procedures that impact payroll
- Experience with payroll processing, administration, reporting and HR metrics/analytics.
- Ensures compliance with federal, state, and local payroll, wage and labor laws, and best practices
- Assists with audits by providing records and documentation to auditors
- Ability to maintain confidentiality
- Attention to detail, organizational, analytical, multi-tasking, timely responses, and prioritization skills
- Excellent interpersonal skills
- Excellent verbal and written communication skills
- Self-driven, motivated and can operate with minimal direction, take initiative and be resourceful in problem solving
