What are the responsibilities and job description for the Secretary II or III DOQ position at Grays Harbor County?
The person in this position performs a variety of legal secretarial duties on a regular and recurring basis, including keyboarding, filing, and posting. Some legal secretarial knowledge and experience is preferred. In the absence of a Secretary III or the Administrative Secretary, this secretary may perform certain duties associated with those positions, under the supervision of the Executive Director, in order to insure that certain immediate needs of the department are completed.
Secretary III:
The person in this position performs a variety of legal secretarial duties on a regular and recurring basis, including keyboarding, filing and posting. Thorough legal secretarial knowledge and experience is required. The secretary is expected to work independently from the immediate supervisor. In the absence of the Administrative Secretary, this secretary will supervise and direct the work activities of all other secretarial staff and perform other immediate duties normally associated with the Administrative Secretary.
Secretary II:
- Assist general public at the front desk, answer and route telephone inquiries.
- Receive, sort and distribute mail.
- File and keep social files in chronological order.
- Print & distribute weekly Juvenile Docket.
- Process, record and distribute Urinalysis results.
- Scan and email all final judgments to the Washington State Caseload Forecast Council.
- Prepare letters, forms and correspondence for mailing.
- Process Diversion cases and keep Diversion statistics throughout the process.
- Keep statistics on community service hours performed through the Community Service Coordinator.
- Mail Disposition Reports (Pinks) for Diversion to Washington State Patrol.
- Handle monetary Diversion transactions accurately.
- Process and verify the Diversion Destruction List for accuracy.
- Process Referral Checks provided by the Prosecutor’s Office.
- Prepare various monthly reports.
- Under the supervision of the Administrative Secretary or Secretary III, may complete some data entry of case type 7’s and 8’s.
- Exercise discretion in maintaining confidentiality of information processed.
- Perform other duties as directed, consistent with the needs of the Juvenile Dept.

MINIMUM QUALIFICATIONS:
- High school diploma or GED
- Valid Washington State Driver’s License.
- One (1) year of Secretarial Experience or
- A combination of education and experience which provides the required knowledge and abilities listed above is preferred.
- Must be cleared through a criminal justice background check.
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of and/or capable of learning Odyssey/Juvenile and Corrections System/Judicial Information System/Microsoft Office Programs. Knowledge of general office practices and procedures.
- Skilled in attention to detail and accuracy.
- Ability to organize work and meet established deadlines.
- Ability to follow oral and written instructions.
- Ability to maintain professionalism while interacting with co-workers and the public.
- Ability to work independently.
Secretary III:
MINIMUM QUALIFICATIONS:
- High school diploma or GED
- Valid Washington State Driver’s License.
- Two (2) years of Legal Secretarial Experience or
- A combination of education and experience which provides the required knowledge and abilities listed above.
- Must be cleared through a criminal justice background check.
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of general office practices and procedures.
- Knowledge of and/or capable of learning Odyssey/Juvenile and Corrections System/Judicial Information System/Microsoft Office Programs.
- Knowledge of Microsoft Office products including word, Excel and Outlook.
- Thorough knowledge of legal secretarial duties.
- Ability to organize work and meet established deadlines.
- Ability to follow oral and written instructions.
- Ability to maintain professionalism while interacting with co-workers and the public.
- Ability to work independently.
- Skilled in attention to detail and accuracy.
WORKING CONDITIONS:
Physical requirements include sitting, standing, walking, reaching, pushing, pulling, a sense of touch, finger dexterity, ability to grip with hands and fingers, ability to hear voice conversation, ability to speak, read and write. Occasionally, there is a need to lift up to 20 lb.
