Position Overview
The Operational Support Administrator plays a vital role in supporting the operational team with administrative tasks to ensure smooth day-to-day functioning of environmental and waste management services. GrayMar, being an environmental services company, focuses on hazardous waste management, transportation, and disposal, so the administrative role is critical in maintaining efficiency, regulatory compliance, and communication.
Key Responsibilities
- Provide general administrative assistance to the operations team, including preparation of job packets, printing proper documentation for field service work, editing and verifying returned job packets, organizing documents, preparing reports, and managing correspondence related to projects.
- Maintain and update various databases related to waste management activities, including waste manifests, inventory logs, and compliance records. Ensuring all data is accurate, complete, in software and easily accessible for audits or regulatory reporting.
- Assist with ensuring the company is compliant with environmental laws and regulations (e.g., hazardous waste disposal regulations). This may include helping with the printing, preparation, and filing of necessary documents and reports for federal, state, and local regulatory agencies.
- Communicate with team members to resolve inquiries and issues related to waste management services.
- Ensure client requests are handled in a timely and efficient manner, and that the company's services meet or exceed expectations.
- Monitor inventory levels for supplies and equipment needed for operations, such as personal protective equipment (PPE), waste containers, or transportation materials. Order supplies as necessary and ensuring the availability of necessary resources for daily operations.
- Prepare and distribute regular reports on operational performance, waste management activities, and other relevant metrics. These reports might be used for internal analysis or provided to regulatory authorities.
- Identify areas for improvement in administrative processes or operational efficiency and working with team members to implement more effective procedures.
- Act as a liaison between various departments, the sales, and operational team.
- Ensure smooth communication between team members and external stakeholders while supporting cross-functional efforts to meet company goals.
- Perform other related duties as assigned.

- 1 year of experience in an Administrative or related role.
- Experience with Waste LINQ preferred.
