Position Overview

The Fleet Maintenance Manager is responsible for the overall management, performance, compliance, and strategic direction of GrayMar's fleet maintenance operations. This position oversees maintenance personnel, preventative maintenance programs, vendor relationships, equipment lifecycle management, and maintenance budgets to ensure safe, reliable, and cost-effective fleet operations. The Fleet Maintenance Manager partners with Operations and Transportation leadership to maximize equipment uptime, reduce operating costs, ensure regulatory compliance, and support organizational growth initiatives across multiple locations.

Key Responsibilities

  • Fleet Maintenance & Asset Management
  • Develop, implement, and oversee preventive maintenance programs for all company-owned vehicles and equipment.
  • Ensure fleet assets are maintained in accordance with company standards, manufacturer recommendations, and regulatory requirements.
  • Analyze equipment utilization, maintenance history, and lifecycle costs to make recommendations regarding repair, replacement, retirement, or acquisition of assets.
  • Monitor fleet performance metrics including downtime, maintenance costs, cost-per-mile, and shop productivity.
  • Investigate recurring maintenance issues and implement corrective actions to improve reliability and reduce downtime.
  • Support equipment integration and maintenance planning related to acquisitions, new locations, and fleet expansions.
  • Operational Leadership
  • Direct and oversee all maintenance operations across company locations.
  • Establish standardized maintenance processes, procedures, and performance expectations.
  • Monitor shop performance and identify opportunities for operational improvements and cost savings.
  • Partner with Operations and Transportation leadership to ensure equipment availability meets business demands.
  • Conduct regular inspections of maintenance facilities, tools, inventory, and equipment.
  • Personnel Management
  • Hire, train, coach, mentor, and evaluate maintenance employees.
  • Provide ongoing performance feedback and conduct performance reviews.
  • Develop succession plans and employee development opportunities within the maintenance organization.
  • Promote a culture of safety, accountability, teamwork, and continuous improvement.
  • Conduct department meetings and safety briefings.
  • Budgeting & Financial Management
  • Develop and manage departmental budgets.
  • Monitor maintenance expenditures and identify opportunities for cost reduction.
  • Review and approve maintenance-related purchases and invoices.
  • Negotiate pricing, contracts, and service agreements with vendors and suppliers.
  • Analyze maintenance spending trends and prepare reports for leadership.
  • Vendor & Inventory Management
  • Establish and maintain relationships with external vendors, service providers, and parts suppliers.
  • Evaluate vendor performance related to quality, service, responsiveness, and pricing.
  • Manage parts inventory levels to balance equipment uptime and inventory carrying costs.
  • Ensure warranty claims are properly tracked and recovered when applicable.
  • Compliance & Risk Management
  • Ensure compliance with DOT, FMCSA, OSHA, EPA, state, and local regulatory requirements.
  • Maintain accurate maintenance records, inspection documentation, and regulatory files.
  • Oversee vehicle registration, licensing, annual inspections, and permitting requirements.
  • Support accident investigations and identify corrective maintenance actions when necessary.
  • Participate in internal and external audits related to fleet operations and equipment maintenance.
  • Reporting & Analytics
  • Develop and maintain maintenance performance dashboards and reports.
  • Track and report fleet KPIs, including: 
  • Equipment availability
  • Preventive maintenance compliance
  • Downtime
  • Maintenance cost per unit
  • Shop productivity
  • Vendor performance
  • Fleet lifecycle metrics
  • Present fleet performance and improvement initiatives to senior leadership.

Desired Qualifications

  • Education
  • Bachelor's degree in Fleet Management, Transportation, Business Administration, Automotive Technology, or related field preferred.
  • Equivalent combination of education and experience may be considered.
  • Experience
  • 7 years of progressive fleet maintenance experience.
  • 5 years of maintenance leadership or management experience.
  • Experience managing multiple locations and maintenance teams preferred.
  • Experience supporting DOT-regulated fleets required.
  • Experience with fleet maintenance software and reporting systems required.
  • Knowledge, Skills & Abilities
  • Strong knowledge of diesel truck maintenance, heavy equipment, and preventative maintenance programs.
  • Working knowledge of DOT, FMCSA, OSHA, and environmental regulations.
  • Strong analytical and financial management skills.
  • Experience with budgeting, forecasting, and cost analysis.
  • Ability to lead cross-functional teams and influence stakeholders.
  • Strong vendor negotiation and contract management skills.
  • Proficiency with Microsoft Office Suite and fleet management software.
