Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO of a growing Wealth Management firm in Amherst, NH. This individual will serve as a trusted partner, managing the CEO’s day-to-day operations, optimizing time, and ensuring seamless coordination across business and personal commitments. This is a fully in-office role requiring strong judgment, discretion, and the ability to thrive in a fast-paced, client-focused environment.
Key Responsibilities
Executive Support
- Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and priorities
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
- Act as a gatekeeper, prioritizing communications and requests to maximize the CEO’s efficiency
- Prepare meeting agendas, briefing materials, and follow-up action items
Event & Meeting Coordination
- Plan, coordinate, and execute internal and client-facing events, including logistics, invitations, and materials
- Schedule and organize executive meetings, board meetings, and client engagements
- Ensure all meetings are efficiently structured and aligned with business objectives
Operational Efficiency
- Support time management by anticipating needs, resolving scheduling conflicts, and ensuring optimal use of the CEO’s time
- Assist with special projects and strategic initiatives as needed
- Maintain confidentiality and handle sensitive information with discretion
Administrative Excellence
- Draft, review, and manage correspondence on behalf of the CEO
- Maintain organized records, files, and documentation
- Liaise with internal teams, clients, and external partners professionally and effectively
Qualifications
- 3–7 years of experience supporting senior executives, preferably within financial services or wealth management
- Strong understanding of executive-level support and business operations
- Exceptional organizational and time management skills
- High attention to detail with the ability to anticipate needs and solve problems proactively
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools
- Ability to multitask and prioritize in a fast-paced environment
- Demonstrated professionalism, discretion, and sound judgment
Preferred:
- Experience in Wealth Management, Financial Services, or a Registered Investment Advisor (RIA) environment
- Familiarity with CRM systems and client relationship workflows
