Inventory Control Manager

Multi-Location Smoke & Vape Retail Operations

We are seeking a highly organized, detail-oriented Inventory Control Manager to oversee inventory across 12 retail locations and our central warehouse. This person will take full ownership of inventory accuracy, stock-control procedures, system organization, monthly reconciliations, and communication between store managers, warehouse personnel, and upper management.

The ideal candidate has hands-on experience with Thrive by Shopventory. However, strong experience using another retail inventory-management or POS inventory system is required. This is not simply a reporting position—we need someone who will actively investigate discrepancies, correct problems, improve processes, and hold locations accountable for following inventory procedures.

Key Responsibilities

  • Manage inventory activity across 12 retail stores and one central warehouse using Thrive by Shopventory.
  • Maintain accurate inventory quantities, costs, SKUs, product information, categories, vendors, and location assignments.
  • Plan, coordinate, and oversee full physical inventory counts and recurring cycle counts.
  • Manage monthly inventory reconciliation for every store and the warehouse.
  • Research and resolve inventory discrepancies, including shortages, overages, duplicate products, receiving errors, transfer errors, and system inaccuracies.
  • Review inventory adjustments and identify unusual activity, recurring mistakes, shrinkage, or potential loss.
  • Coordinate inventory transfers between the warehouse and retail locations.
  • Verify that purchase orders, product receiving, transfers, returns, damages, and write-offs are entered correctly and completed on time.
  • Keep the inventory system clean and organized by correcting duplicate SKUs, inactive products, incorrect costs, missing information, and inconsistent product naming.
  • Establish consistent inventory-control procedures across all locations.
  • Create clear stock-counting, receiving, transfer, return, and adjustment procedures for managers and employees.
  • Communicate directly and consistently with store managers, warehouse personnel, accounting, purchasing, and upper management.
  • Follow up with managers when counts, transfers, receiving records, or supporting documentation are incomplete or inaccurate.
  • Train store managers and employees on proper inventory procedures and correct use of the inventory-management system.
  • Monitor stock levels and help identify out-of-stock items, overstock, slow-moving merchandise, and replenishment needs.
  • Produce weekly and monthly reports covering inventory accuracy, shrinkage, adjustments, discrepancies, stock levels, and location performance.
  • Provide management with clear explanations of inventory issues and recommended corrective actions.
  • Assist with inventory-related financial reporting by ensuring accurate quantities and product costs.
  • Support the opening of new locations, product rollouts, warehouse organization, and other inventory-related projects.
  • Travel between retail locations and the central warehouse as needed.

Required Qualifications

  • At least 2–3 years of experience in retail inventory control, inventory management, warehouse inventory, loss prevention, or a closely related role.
  • Hands-on experience using a retail inventory-management or inventory-tracking platform is required.
  • Experience conducting physical inventories, stock takes, cycle counts, and inventory reconciliations.
  • Strong understanding of purchase orders, receiving, transfers, returns, adjustments, shrinkage, and cost accuracy.
  • Advanced attention to detail and the ability to work with large numbers of SKUs across multiple locations.
  • Strong Excel or Google Sheets skills, including sorting, filtering, formulas, and inventory analysis.
  • Ability to investigate discrepancies and determine their root causes.
  • Clear, confident, and direct communication skills.
  • Ability to hold managers accountable while maintaining professional working relationships.
  • Strong organizational, follow-up, and time-management skills.
  • Ability to work independently and manage multiple locations and deadlines.
  • Reliable transportation and the ability to travel between locations.
  • Ability to maintain confidentiality and handle sensitive business information.

Preferred Qualifications

  • Experience with Thrive by Shopventory is strongly preferred.
  • Experience managing inventory for a multi-location retail chain.
  • Experience in smoke shops, vape stores, convenience stores, specialty retail, or another high-SKU retail environment.
  • Experience working with a central warehouse that distributes products to multiple stores.
  • Familiarity with barcode systems, SKU management, POS integrations, vendor management, and retail loss-prevention practices.
  • Experience improving inventory systems and writing standard operating procedures.

The Inventory Control Manager will be measured by:

  • Inventory accuracy at every location
  • Completion of monthly reconciliations and scheduled stock counts
  • Reduction in unexplained shortages and inventory adjustments
  • Timely resolution of discrepancies
  • Accurate receiving and store-to-store or warehouse-to-store transfers
  • Improved organization of SKUs and product data
  • Reduction in out-of-stock and overstock situations
  • Consistent compliance with inventory procedures across all locations
  • Clear and timely reporting to upper management

Ideal Candidate

You are analytical, organized, persistent, and comfortable taking ownership. You do not simply identify a discrepancy—you investigate it, determine why it happened, correct it, and put a process in place to prevent it from happening again. You are comfortable communicating directly with store managers and upper management, following up consistently, and maintaining high standards across every location.
