About the Role
The Senior Salesforce Administrator is responsible for the daily management, optimization, and continuous improvement of Salesforce at Gratsy ensuring reliable functionality, clean data, user adoption, and accurate reporting that supports operational excellence and data-driven decisions. This role will configure automation, support process optimization, resolve user issues, maintain data integrity, and collaborate with cross-functional teams to convert operational needs into scalable Salesforce solutions.
The Salesforce Administrator brings strong declarative Salesforce skills and a foundational understanding of Apex, capable of reviewing basic code, testing changes, performing UAT, writing technical tickets/requirements, and collaborating closely with developers and architects when programmatic solutions are required. Responsibilities include and are not limited to the below:
Key Responsibilities
- Serve as the primary Salesforce administrator, managing system configuration, user access, permissions, page layouts, and security settings.
- Maintain data integrity through bulk data imports, deduplication, Data Loader, and validation processes.
- Manage ticket intake, Tier 1–2 issue resolution, and documentation of system changes.
- Build and optimize declarative tools: Flows, Process Builder, Validation Rules, Approval Processes, Field-Level Security.
- Evaluate when declarative tools are sufficient vs. when Apex development is required.
- Develop documentation and change history to maintain transparency and audit readiness.
- Identify manual processes and recommend enhancements that improve workflow efficiency across operations, client services, and field teams.
- Accountable for technical coordination.
- Possess working knowledge of Apex triggers, classes, test coverage, and governor limits.
- Test and validate Apex updates delivered by developers or architects.
- Review and interpret basic Apex logic when troubleshooting or investigating bugs.
- Document clear technical requirements for Apex-based solutions when escalations are needed.
- Provide structured system feedback to the Salesforce Solutions Architect for code-based solutions.
- Perform UAT and coordinate sandbox-to-production releases involving Apex changes.
- Develop accurate reports and dashboards for performance tracking, leadership visibility, and operational decision-making.
- Monitor data quality and proactively recommend improvements to underlying structures when reporting inconsistencies occur.
- Provide Salesforce support, answer user questions, and resolve Tier 1 & Tier 2 issues.
- Lead onboarding, user workshops, how-to guides, and role-based documentation.
- Promote consistent platform usage and alignment across departments.
- Ensure compliance with data governance, security protocols, permission structures, and audit standards.
- Maintain system documentation, change logs, process maps, and naming conventions.
- Support Salesforce releases, sandbox testing, deployment coordination, and post-release validation.

Education and Experience Requirements
- 5 years of progressive work as a Salesforce Administration experience (Sales Cloud required).
- Salesforce Admin Certification (ADM-201) required.
- Experience with Flows, validation rules, Data Loader, and reporting tools.
- Familiarity with Apex triggers, test coverage, and basic logic review required.
- Experience with requirement gathering, UAT testing, and ticket writing for Salesforce development.
- Experience in an agency, operations-focused, or startup/high-growth environment preferred.
- Additional Salesforce certifications are a plus.
Skills & Knowledge Required
- Proven experience with declarative Salesforce tools.
- Understanding of Apex and ability to support troubleshooting, testing, and documentation.
- Data management expertise (imports, deduping, validation rules, error handling).
- Strong analytical skills and ability to translate business needs into technical solutions.
