General Description:
The Industry Scholars Program, operated by Grant Associates, is seeking a Project Manager to lead the successful planning, implementation, and continuous improvement of the Industry Scholars Program's Workplace Challenge (WPC) and Career Discovery Week (CDW) portfolios. This role oversees project and event execution from preparation through completion, ensuring high-quality experiences for students, employer partners, and school stakeholders while meeting contractual requirements and program goals.

The Project Manager serves as the primary operational lead for assigned Workplace Challenge, Career Discovery Week, and other special initiatives, coordinating cross-functional teams, managing project timelines, monitoring performance metrics, and identifying opportunities for innovation and process improvement. The role will include all aspects of the planning and implementation processes with employers and ensuring they are prepared and supported in hosting quality career-connected learning activities, while coordinating with targeted high schools to prepare students for a successful experience.  The role works closely with NYC Public Schools, The Partnership for New York City, employer partners, internal Grant Associates teams, and other important stakeholders to deliver engaging, career-connected learning experiences that prepare students for postsecondary success.

This role is responsible for coordinating program communications, maintaining accurate program data, conducting quality assurance reviews, supporting program wide implementation, and ensuring operational consistency across ISP initiatives, including internships, Workplace Challenge, employer engagement, and other career-connected learning experiences.

This role involves working closely with student level data and as such, requires fingerprinting clearance through the NYCPS PETS systems. Success in this position requires strong attention to detail and comfort with NYC public transit system is a must as regular travel to school and work sites are required. The Project Manager works a hybrid schedule with at least two days a week out of our midtown office.

Responsibilities:

Program amp; Project Management
  • Lead the end-to-end implementation of Workplace Challenge projects across assigned schools and employer partners.
  • Develop and manage cyclical work plans, timelines, and implementation calendars.
  • Monitor project milestones, deliverables, and contractual performance metrics to ensure timely completion.
  • Identify project risks and develop mitigation strategies to maintain program quality and compliance.
  • Coordinate logistics for Workplace Challenge experiences, including scheduling, communications, and stakeholder engagement.
  • Support the planning and implementation of special projects and initiatives, such as Career Discovery Week, and related portfolio management to oversee 20 events and work closely with the employers and participating schools to develop and implement high-quality events.
Stakeholder amp; Partner Management
  • Serve as the primary point of contact for matched NYC Public Schools, employer partners, and internal stakeholders.
  • Collaborate with the Program team to support school and student engagement and retention.
  • Facilitate planning meetings and project check-ins with internal and external partners.
  • Collaborate with the Partnerships team to support employer engagement and retention. 
  • Support employer partners in designing and planning career-connected learning activities.
  • Conduct regular planning calls with employer partners to confirm event operations and logistics.
  • Drive planning through regular correspondence (phone and email) with follow-ups and next steps.
  • Meetings with targeted schools’ leadership and coordinators to set expectations for participation and secure commitment.

  • Monitor student engagement from each school.
  • Ensure schools complete and submit their project deliverables.
  • Oversee the staffing of events and ensure support with set up, tech needs, student welcome and admin, etc.
Data amp; Performance Management
  • Monitor participation, completion, and program quality metrics using Salesforce and other data systems.
  • Conduct regular quality assurance reviews to ensure data accuracy and compliance.
  • Create and collect experience survey data to analyze program outcomes and develop recommendations for improvement.
  • Develop and refine standard operating procedures (SOPs), templates, and implementation resources.
  • Oversee payroll processing; create stipend recommendation sheets and disseminate to schools that qualify.
  • Review and analyze all materials to document final results.
Requirements:
  • 2 years of related field experience in external affair, event management, program management, and/or project management.
  • Experience in Salesforce or other database/CRM systems.
  • Proficiency in Microsoft Office and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong organizational, project management, and problem-solving skills.
  • Ability to develop working partnerships with various education, business and industry stakeholders.
  • Ability to achieve goals with minimum supervision.
  • Ability to adapt quickly to change and work within a results-oriented environment.
  • An interest in education, youth development or workforce development.
  • Experience with managing projects with multiple work streams.
  • Ability to balance multiple priorities, follow through on details and deliver consistently on tight timelines.
  • Professional attitude and approach to working with students and adults.
  • Comfort navigating and using NYC public transit system for travel.
Salary: $68,000-$75,000/Anually
