Position Summary:
We are currently seeking a highly organized, customer-focused Office Coordinator to support the daily operations of our Rapid City office. This person will serve as the face of the office, creating a welcoming and professional experience for clients, visitors, and team members while ensuring the office runs smoothly and efficiently. The Office Coordinator will manage a variety of administrative operational, and event-related responsibilities, including handling incoming communication, coordinating meetings, maintaining office supplies, supporting leadership and staff, and assisting with company events. Our Office Coordinator wants us to be proactive, detail-oriented, adaptable, and enjoys working in a collaborative environment.
Key Responsibilities:
- Serve as the primary point of contact for clients, visitors, and team members, creating a welcoming and professional office environment.
- Coordinate daily office operations to ensure the branch runs efficiently and effectively.
- Manage incoming phone calls, emails, mail, packages, and other administrative communications with professionalism and accuracy.
- Maintain office organization through scheduling, record keeping, document management, filing, and data entry.
- Order and manage office supplies, refreshments, and other resources needed to support day-to-day operations.
- Coordinate meetings, training sessions, and team events, including room setup, catering, materials, and logistics.
- Support company and community events by assisting with planning, vendor coordination, attendee communications, and event execution.
- Assist with onboarding activities and provide administrative support to leadership and team members as needed.
- Create and schedule social media content using approved templates and marketing materials.
- Partner with internal departments to support office initiatives, special projects, and process improvements.
- Monitor office procedures and identify opportunities to improve efficiency, organization, and the overall employee and client experience.
- Maintain a clean, organized, and professional office environment that reflects Granite Bank's commitment to exceptional service.
Experience:
- Previous administrative, office coordination, customer service, or related experience preferred.
- Experience managing multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience supporting office operations, event coordination, or executive administration is a plus.
- Ability to identify opportunities for process improvement and implement efficient solutions.
