About the Role:
The Office Assistant in Property Management plays a crucial role in ensuring the smooth and efficient operation of property management offices. This position is responsible for providing comprehensive administrative support, facilitating communication between tenants, property managers, and vendors, and maintaining accurate records related to property operations. The role demands a proactive approach to managing daily office tasks, including scheduling, correspondence, and document management, which directly impacts tenant satisfaction and operational efficiency. The Office Assistant will also assist in coordinating maintenance requests and lease documentation, contributing to the overall success of property management activities. Ultimately, this position supports the property management team by streamlining office functions and enhancing the tenant experience through effective administrative practices.
Minimum Qualifications:
- High school diploma or equivalent and 2 years proven experience in an administrative or office assistant role, preferably within property management or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
Responsibilities:
- Manage incoming calls, emails, and in-person inquiries from tenants, vendors, and staff, providing timely and professional responses.
- Maintain and organize tenant files, lease agreements, and other property-related documents to ensure accuracy and compliance.
- Coordinate maintenance requests by communicating with vendors and tracking the status of repairs and services.
- Assist with scheduling appointments, meetings, and property showings for property managers and leasing agents.
- Prepare and distribute correspondence, notices, and reports related to property management activities.
- Support rent collection processes by preparing documentation and assisting with tenant communications.
- Maintain office supplies inventory and ensure the office environment is organized and welcoming.
- Assist with data entry and updating property management software to keep records current and accessible.
