Job Summary
The Fleet and Safety Compliance Manager is responsible for ensuring that the company’s operations comply with all federal, state, and local regulations, as well as internal safety policies. This role supports both the safety and fleet departments by maintaining accurate records, monitoring compliance activities, and assisting with driver training and reporting. The administrator plays a key role in promoting a culture of safety and accountability across the organization.
Key Responsibilities
- Maintain and update driver qualification files, DOT records, and compliance documentation.
- Monitor hours-of-service logs, drug and alcohol testing records, and vehicle inspection reports.
- Ensure adherence to FMCSA, DOT, and other regulatory requirements.
- Ordering trip/annual overweight permits for tractors and loads.
- Ensuring Cab Book documents are always current
- Oversee drivers’ HOS and ELD compliance, as well as provide coaching and discipline to those who violate HOS.
- Assist with unassigned drive time and mileage skips.
- Assist in developing and implementing safety policies and procedures.
- Track and report safety metrics, including accidents, incidents, and violations.
- Submitting accident/incident claims to insurance
- Host driver onboarding and orientation with new hires.
- Serve as point of contact for designated group for driver behavior coaching in Samsara
- Oversee timely completion of driver monthly and yearly trainings.
- Manage driver fuel cards (WEX Fleet One)
- Serve as a point of contact for drivers regarding questions about fuel cards, HOS, and other safety related items.
- Coordinate with operations and HR to ensure consistent enforcement of policies.
- Cover the Fleet maintenance (scheduled maintenance program with Volvo).
- Support data entry of maintenance records
Qualifications
- 2 years of experience in transportation safety, compliance, or administrative support.
- Strong knowledge of DOT, FMCSA, and OSHA regulations.
- Experience with the "Samsara" system is a huge plus
