We are seeking an organized, proactive, and technology-driven Executive Assistant / AI Operations Coordinator to work directly with the Founder and help scale operations across multiple business ventures.

Position Overview

This is not a traditional administrative assistant position.
You will serve as the Founder's right hand, helping manage projects, improve business systems, coordinate teams, and implement AI-powered workflows that increase efficiency across the organization.
The ideal candidate is highly organized, resourceful, adaptable, and excited about using technology and AI to help businesses grow.

Key Responsibilities
Executive Support
Manage calendars, meetings, and priorities
Coordinate follow-ups and ensure action items are completed
Prepare reports, presentations, and business documents
Assist with strategic projects and executive initiatives
Act as a communication bridge between the Founder and internal teams

Operations Coordination
Track projects across multiple companies and departments
Coordinate with team members, vendors, contractors, and partners
Maintain accountability for deadlines and deliverables
Improve internal processes, SOPs, and documentation
Identify bottlenecks and recommend operational improvements

AI & Systems Implementation
Assist with implementing AI tools and automation workflows
Build and optimize business systems using AI technologies
Manage CRM systems and lead pipelines
Create dashboards, reports, and operational tracking systems
Coordinate AI agents and automated follow-up sequences
Research and test emerging AI tools that improve productivity

Sales & Marketing Support
Track leads, opportunities, and business development activities
Support CRM management and sales follow-up processes
Coordinate marketing campaigns and outreach initiatives
Generate performance reports and KPI dashboards
Assist with content organization and marketing operations
Qualifications

Required
Strong organizational and project management skills
Excellent written and verbal communication abilities
Highly detail-oriented with strong follow-through
Ability to prioritize and manage multiple projects simultaneously
Comfortable working in a fast-paced entrepreneurial environment
Proficient with Google Workspace and Microsoft Office
Strong problem-solving and critical-thinking skills
Self-starter with a proactive mindset

Preferred
Experience with CRM platforms (HubSpot, GoHighLevel, Salesforce, etc.)
Experience using AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar platforms
Experience with project management software (Asana, Monday, ClickUp, Trello)
Experience supporting founders, executives, or small business owners
Interest in real estate, entrepreneurship, startups, or business operations
Familiarity with workflow automation tools such as Zapier, Make, or n8n
What Success Looks Like

Within your first 90 days:

Founder has greater focus on growth, partnerships, and strategic initiatives
CRM and lead management systems are organized and functioning efficiently
Key business processes are documented and standardized
AI workflows and automations are actively supporting daily operations
Projects move faster with greater accountability and visibility
Team communication and execution become more streamlined

Expected Salary Range: Competitive salary depending on experience and qualifications.
