The main office is in the heart of the Shenandoah Valley in Harrisonburg, VA, headed by Mark Graham (partner) and Pete Poirot (partner). There is a satellite office headed by Steven Caseres (partner) in the Leesburg, VA, area. GPC CPAs serves nearly 3,000 clients ranging from individuals to large companies. We provide tax, consulting, bookkeeping, valuation, and litigation support services to our clients. Though small, we are a mighty and growing firm looking to expand our team.
Job Description
Graham, Poirot, & Caseres CPAs, LLC is seeking an organized, detail-oriented, and proactive Office Administrator to join our administrative team. In this position, you will play a critical role in ensuring the smooth operation of the office by performing a wide range of tasks, including client assistance, scheduling, light bookkeeping, document management, and more. This is a dynamic role that requires excellent communication skills, an ability to multitask, and a positive attitude.
Key Responsibilities
- Answer phone calls and direct them to the appropriate person or department.
- Assist clients with inquiries, providing timely and professional support.
- Schedule appointments and coordinate meetings, ensuring optimal use of time and resources.
- Maintain a clean, organized, and welcoming workspace for staff and clients.
- Scan and manage client and firm documents, ensuring accurate digital records.
- Perform light bookkeeping duties, including managing deposits and assisting with financial records.
- Organize firm meetings, prepare agendas, and ensure smooth execution.
- Bring new ideas to the table for improving office efficiency and client services.
- Maintain confidentiality of client information
- Handle additional administrative duties and tasks as assigned by management.
Qualifications
- High school diploma or equivalent; Associate’s degree or higher preferred.
- At least 1-2 years of administrative or office support experience, preferably in an accounting, financial, or legal services environment.
- Proficiency with Microsoft Office Suite, QuickBooks, UltraTax, Levitate, Canva, and general office equipment; or a willingness to learn these apps.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Excellent verbal and written communication skills.
- Professional demeanor and ability to work with clients in a courteous and respectful manner.
- Knowledge of bookkeeping or accounting principles is a plus.

Work Schedule
This is a full-time position with a typical workweek of Monday – Friday from 9AM – 5PM during busy season; and Monday – Thursday from 8AM – 5PM and on Friday from 8AM – 12PM when busy season concludes. Some flexibility may be required based on office needs.
Pay: $19.00 - $23.00 per hour
