Job Overview
Graham, Poirot, & Caseres CPAs, LLC is seeking an organized, detail-oriented, and proactive Office Administrator to join our administrative team. In this position, you will play a critical role in ensuring the smooth operation of the office by performing a wide range of tasks, including client assistance, scheduling, light bookkeeping, document management, and more. This is a dynamic role that requires excellent communication skills, an ability to multitask, and a positive attitude.

Key Responsibilities

  • Answer phone calls and direct them to the appropriate person or department.
  • Assist clients with inquiries, providing timely and professional support.
  • Schedule appointments and coordinate meetings, ensuring optimal use of time and resources.
  • Maintain a clean, organized, and welcoming workspace for staff and clients.
  • Scan and manage client and firm documents, ensuring accurate digital records.
  • Perform light bookkeeping duties, including managing deposits and assisting with financial records.
  • Organize firm meetings, prepare agendas, and ensure smooth execution.
  • Bring new ideas to the table for improving office efficiency and client services.
  • Maintain confidentiality of client information
  • Handle additional administrative duties and tasks as assigned by management.

Qualifications

  • High school diploma or equivalent; Associate’s degree or higher preferred.
  • At least 1-2 years of administrative or office support experience, preferably in an accounting, financial, or legal services environment.
  • Proficiency with Microsoft Office Suite, QuickBooks, UltraTax, Levitate, Canva, and general office equipment; or a willingness to learn these apps.
  • Strong organizational skills and attention to detail.
  • Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Professional demeanor and ability to work with clients in a courteous and respectful manner.
  • Knowledge of bookkeeping or accounting principles is a plus.

Work Schedule

This is a full-time position with a typical workweek of Monday – Friday from 9AM – 5PM during tax season; and Monday – Thursday from 8AM – 5PM and on Friday from 8AM – 12PM when busy season concludes. Some flexibility may be required based on office needs.
