Responsibilities
- Manage front desk duties, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems efficiently, directing calls and taking messages accurately
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Support bookkeeping activities using QuickBooks or similar accounting software
- Assist with calendar management and scheduling appointments for team members or executives
- Provide exceptional customer service by answering inquiries promptly and courteously
- Support office management functions including supply inventory, filing systems, and general administrative support
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks or other bookkeeping software is preferred
- Excellent phone etiquette and customer service skills;
- Familiarity with multi-line phone systems, front desk operations, and office management procedures
- Ability to handle confidential information discreetly while maintaining professionalism
- Effective time management skills to prioritize tasks in a busy environment
- Staffing the front desk, taking incoming calls and scheduling appointments
- Acting as a liaison with the clients
- Organizing and managing documents, setting up files and sorting mail
- Main supplies and place orders
- Assist with all aspects of billing and collection of fees
- Collection of payments and bookkeeping
Qualified Candidates should have excellent communication skills, be proficient in Word, Excel, Adobe and QuickBooks. Notary Public is a plus.
3-5 years’ experience preferred, but willing to train individuals with less experience.
