The Onboarding Coordinator is responsible for organizing, streamlining, and overseeing the onboarding process for new hires. This role assists new hires with tasks related to the employment onboarding process to ensure full compliance with policy and regulatory requirements while offering a superb applicant and candidate experience. The Onboarding Coordinator will work with Talent Acquisition Partners/Recruiters to ensure high engagement and retention through the full-cycle recruitment process. The onboarding coordinator support talent acquisition and HR administrative duties.
Essential Job Functions
- Manages new hire onboardings including pre-employment screening management, welcome phone calls and emails to new employees, coordinating, tracking, and collecting all paperwork, verifying I-9 documentation, and assisting employees as needed through the process.
- Submits required candidate information to initiate background investigations through third party screening agencies (including DBHDS and CPS).
- Reviews completed background investigation and drug screen results for compliance with state regulatory and company standards. Escalates background discrepancies to HR leader, as appropriate. Facilitates pre-adverse and adverse actions in compliance with FCRA, as appropriate.
- Ensures positive candidate experience through timely communication and coordination of onboarding processes and orientation scheduling.
- Identifies and implements efficient and effective onboarding methods and strategies.
- Maintains timely tracking of candidates as they move through the on boarding activities to identify and address potential delays in candidate progress and start dates.
- Ensure hires are ready to start, are properly entered in the HRIS and regularly performs audits to ensure data accuracy.
- Receives and responds to questions from hiring managers and candidates to facilitate navigation of talent acquisition and on boarding processes, procedures, and programs.
- Reviews new hire documents for accuracy and completeness and files appropriately. Performs routine file audits.
- Analyze trends and metrics to develop and implement recommended solutions for onboarding contingencies and other related onboarding duties.
- Serves as an assistant to the Talent Acquisition Partner and supports other recruiting-related administrative tasks as necessary.
- Assists in the recruitment process including participating in job fairs and other recruitment events, as needed.
- Assists with the administration of the employee referral program.
- Assist with various, administrative tasks, projects and performs other duties as assigned.
Minimum Qualifications
- High school diploma or GED; Bachelor degree in Human Resources or related field is preferred;
- 2 years in onboarding or related duties;
- Strong computer and Microsoft Office Suite skills, ability to work cross functions/regions with excellent spoken and written communication skills, data entry and file management experience working with large volumes of documents, ability to work independently and consistently with minimal supervision;
- Experience with HR standard software, such as UKG and MS Office
- PHR or SHRM-CP; preferred
