What are the responsibilities and job description for the Operations and Member Service Coordinator position at Grafton Area Chamber of Commerce?
Overview
Under the direction of the Executive Director, the Operations & Member Service Coordinator manages day-to day operations of the Chamber office . Additional tasks will include general correspondence, including answering phones, data entry, processing payments, filing and office activities. In addition, will be responsible for assisting in event planning and implementation of Chamber events paying close attention to detail all while possessing a positive attitude.
POSITION RESPONSIBILITES
Membership Duties:
- Maintain professional business relationships and communication established with existing Chamber Members and positively represent the Chamber in the community.
- Manage requests for referrals, membership information, and community events.
- Schedule new member meetings with prospective members.
- Assist in the planning and logistics of membership events and programs.
Office and Clerical Duties:
- Professional and efficient communication with Chamber members and the community through phone, email, and website interactions.
- Continually update website with new events, registration links, and information
- Design graphics for social media, posters, and print.
- Greet visitors to the Chamber Office.
- Process gift check orders and communicate with customers once complete.
- Data entry, filing and copying.
- Prepare invoices and track payments for chamber events, registrations, and sponsorships.
- Regularly update online calendar of events and job postings.
- Serve as recording secretary at monthly board of director meetings.
- Process credit cards and maintenance of PayPal transactions.
- Prepare a monthly PayPal breakdown which totals transactions based on category.
- Any other responsibilities deemed necessary by the Executive Director.
Special Projects:
- Assist in event planning and implementation of Chamber events including State of the Community Luncheon, Independence Day Parade, Ladies Night Out, Golf Outing, Annual Meeting & Awards Dinner, Outstanding Citizen Reception, Tree Lighting, Breakfast with Santa and the Christmas Parade.
- Assist the Executive Director with the development and promotion and registration for Muffins & Members, ONCE, State of the Community Luncheon and Outstanding Citizen/Group Reception.
- Set up and manage registration for chamber events in constant contact and add registration links to website.
- Send out promotions for chamber events via mass e-mailings and flyers.
OTHER EXPERIENCE AND QUALIFICATIONS
The ideal candidate will possess:
- MS Office Suite, Wordpress, Canva (or other desktop publishing software) knowledge
- Familiarity with social media platforms.
- Good communication skills, both written and verbal
- Dependable and honest
- Strong project management and multi-tasking skills with great attention to detail and ability to work under pressure.
- Ability to work nights and weekends as required.
- Ability to bend, twist, stoop, kneel, push, pull, lift, and carry objects that weigh up to 50 lbs.
Pay: $19.00 per hour
