What are the responsibilities and job description for the Design Assistant position at Gracia Taylor Design?
Gracia Taylor Design is a boutique interior design studio based in Fairfield County, CT, creating classic, timeless interiors with refined, livable luxury. We work closely with clients to deliver a seamless design experience from concept to installation, managing every detail with care.
We are seeking a proactive Design & Operations Assistant to support both the creative and business sides of our firm. This role is a hybrid of remote administrative work and "on-the-ground" project support. Requirement: Because this role involves frequent local errands and site visits, you must live within 30 minutes of New Canaan/Darien/Rowayton and have your own reliable car.
- Project Management: Assist the Studio Operations Director with back-end tasks including data entry, expense tracking, and project management throughout the design process.
- Order Tracking: Proactively follow up with vendors regarding lead times, freight updates, and shipping statuses.
- Procurement & Accounting: Assist in creating proposals and processing vendor invoices. Utilize Design Manager (or similar software) to ensure all project costs are accurately logged and reconciled.
- Presentations: Prepare client proposals, presentations, and supporting materials.
- Client Support: Attend client meetings and site visits to take detailed notes, track action items, and update project schedules.
- Vendor Support: Own and maintain the master vendor/rep list to ensure the design team has immediate access to up-to-date contacts.
- Site Support: Assist with measuring rooms/windows and document site conditions through photography and sketching.
- Delivery/Install Support: Meet receiver and delivery teams at job sites to oversee "white-glove" placement and perform quality control. Assist with the physical execution of "Install Days"—unboxing, steaming, styling, and prepping the home.
- Local Errands: Manage the frequent "pickup and return" cycle for samples, rugs, and accessories from local showrooms and vendors (e.g., Rings End, framing shops).
- Location: Must live within 30 minutes of New Canaan, Darien, or Rowayton.
- Transportation: Must have your own reliable vehicle and a valid driver’s license.
- Organization: Highly detail-oriented
- Professionalism: Polished demeanor for high-end residential job sites.
- Physicality: Able to be on your feet during installs and lift/move small furniture or heavy boxes.
