Position Summary

Grace TMS is seeking a compassionate, detail-oriented Certified TMS Clinician / Patient Care Coordinator to provide Transcranial Magnetic Stimulation (TMS) treatments while supporting front office, scheduling, insurance, and billing operations. This dual-role position requires excellent patient service skills, strong organizational abilities, and the ability to coordinate effectively with physicians, insurance companies, and our outsourced billing team.

Essential Duties and ResponsibilitiesClinical / TMS Duties

  • Administer TMS treatments according to physician protocols.
  • Prepare treatment room and TMS equipment for daily patient care.
  • Monitor patients during treatment sessions and report concerns to the supervising physician.
  • Document treatment sessions and patient responses in Practice Fusion.
  • Obtain PHQ-9 and other outcome measures as directed.
  • Maintain treatment logs and ensure accurate clinical documentation.
  • Ensure compliance with all safety and HIPAA requirements.

Front Office & Patient Coordination

  • Answer incoming telephone calls and respond to patient inquiries.
  • Schedule consultations, evaluations, and treatment appointments using Practice Fusion.
  • Verify patient demographics and insurance information.
  • Obtain medical records and coordinate referrals.
  • Manage incoming faxes, emails, and patient correspondence.
  • Check patients in and out and maintain accurate patient records.
  • Provide exceptional customer service to patients, families, and referral sources.

Insurance & Billing Support

  • Submit supporting documentation to insurance companies as requested.
  • Coordinate prior authorizations and reauthorizations.
  • Communicate with the outsourced billing company regarding claims, denials, and payment issues.
  • Ensure billing company receives all required documentation timely.
  • Track authorization dates, visit counts, and expiration periods.
  • Assist with payment collection and patient account inquiries.
  • Maintain accurate records of insurance communications.

Administrative Support

  • Maintain office supplies and treatment materials.
  • Assist with referral source communications and outreach.
  • Support marketing events and physician referral activities as needed.
  • Perform other administrative duties as assigned.

Qualifications

  • Certified TMS Technician or willingness to obtain TMS certification.
  • Medical Assistant, LVN, CNA, Behavioral Health Technician, or equivalent healthcare experience preferred.
  • Experience with electronic medical records (Practice Fusion preferred).
  • Knowledge of medical insurance verification and authorization processes preferred.
  • Excellent communication and customer service skills.
  • Strong attention to detail and organizational skills.
  • Ability to multitask in a fast-paced outpatient environment.
  • Familiarity with HIPAA regulations and patient confidentiality requirements.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Ability to assist patients as needed.
  • Ability to operate computer systems and medical equipment.

Pay: From $23.00 per hour
