The Accounting Assistant provides essential support to the Finance Department by managing key functions related to accounts payable, accounts receivable, deposits, expense reimbursements, and credit card reconciliation. This role requires strong attention to detail, effective communication, and the ability to coordinate with multiple office locations. The Accounting Assistant plays an important role in supporting the Controller and maintaining the overall integrity of the firm’s financial operations.

Responsibilities

• Process vendor invoices, payments, receivables, and deposits with accuracy and timeliness, maintaining detailed records of all transactions.
• Review and process employee expense reimbursements, ensuring alignment with timesheets and company policies while resolving discrepancies.
• Monitor office credit card usage, maintain accurate transaction records, and coordinate reconciliation processes across multiple office locations.
• Collaborate with administrative assistants to ensure consistent documentation and prepare timely reconciliation reports.
• Assist in preparing records for internal and external audits, ensuring documentation is audit-ready and responsive to auditor requests.
• Work collaboratively with the finance team and office staff, demonstrating professionalism, reliability, and alignment with the firm’s values.
  
  

Qualifications

• Associate degree or equivalent experience in Accounting, Finance, or Business Administration
• 3–5 years of experience in a finance or accounting support role
• Proficiency with accounting software; experience with Deltek Ajera is a plus
• Strong organizational skills, attention to detail, and the ability to manage confidential information with discretion
• Effective communication skills, especially in coordinating across multiple teams
• Familiarity with credit card reconciliation and expense policies preferred
