Responsibilities
- Manage front desk operations, including greeting visitors, answering customer email or calls with professional phone etiquette.
- Oversee office supplies inventory, place orders as needed, and maintain organized filing systems to ensure easy access to documents.
- Utilize productivity software such as Microsoft Office (Word, Excel, PowerPoint) and spreadsheets to prepare reports, correspondence, and presentations.
- Perform data entry tasks accurately while maintaining high levels of attention to detail; proofread documents for clarity and correctness.
- Coordinate shipment calendar management and schedule appointments or meetings for cargo delivery or pickup.
- Support customer service efforts by assisting clients or visitors with inquiries and providing exceptional support both in person and via phone or email.
- Assist with office management duties such as organizing files, managing office equipment, and ensuring a clean, safe work environment.
- Use technical proficiency in computer literacy to troubleshoot basic issues and support other team members with software or hardware needs.
Qualifications
- Proven clerical experience or office experience demonstrating strong organizational skills and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with familiarity with productivity software and spreadsheets.
- Experience with QuickBooks or similar accounting software is a plus for managing invoices or financial records.
- Excellent communication skills, including phone communication and client interaction; bilingual ability is preferred but not required.
- Strong computer literacy with the ability to perform data entry accurately and efficiently; familiarity with multi-line phone systems is advantageous.
- Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Personal assistant or administrative experience that includes calendar management, filing, proofreading, and supporting team members is highly valued.
