JOB DESCRIPTION
This position will be the first point of contact for the company. Responsible for greeting and directing all clients and visitors in a friendly and helpful manner.
DUTIES & RESPONSIBILITIES
Provides support to the Partners, Directors, Office Manager, and Architectural Staff. Responsible for greeting clients, vendors, and visitors. Determines the purpose of each person’s visit, directs and escorts them to the appropriate location. Answering, screening incoming calls, and transferring calls to appropriate parties. Opens office – reception area, conference rooms, supplies stocked, and lounge area. Maintains reception area. Orders supplies as needed. Receives mail, documents, packages, and courier deliveries, and distributes them accordingly. Logs mail daily. Responsible for postage machine and ensuring funds are available. Submits building requests for hot/cold calls and maintenance issues. Performs administrative and clerical support tasks. Orders monthly birthday celebration cake. Closes office – food is put away, coffee bars cleaned and stocked, dishwasher started, and coffee machine rinsed. Performs other duties as assigned.
QUALIFICATIONS
High School Diploma or GED (required)
1-2 years of relevant experience in an office environment
Strong phone skills
Comfortable multi-tasking and prioritizing tasks
Excellent interpersonal skills
