Responsibilities
Project Systems and Workflow Support
- Maintain and improve shared tools (e.g. Asana, Slack) that support project and campaign planning.
- Refine project templates and documentation with guidance from the Director, Operations.
- Coordinate project setup, tracking, and close-out in Asana and Slack.
- Document and scale project management best practices across teams.
- Regularly clean up and organize shared digital files (e.g. Google Drive folders).
- Support onboarding processes by ensuring new staff are added to the right tools, projects, and systems.
- Maintain onboarding and offboarding checklists and related resources.
- Provide coordination support for hiring (e.g. drafting job postings, scheduling interviews).
- Take notes and coordinate follow-up from internal and external meetings (e.g. Governing Council meetings).
- Assist with HR-related administrative tasks, as needed.
- Process staff expense claims and ensure timely submission of required documentation.
- Support monthly credit card expense reconciliation
- Assist with drafting grant applications, contract reporting and organizing related documentation
- Coordinate fundraising follow-up tasks (e.g. sending thank-you emails, managing invoice delivery)
- Experience managing digital tools and workflows that support team collaboration and project execution (We use Asana, Slack, and Google Workspace)
- Proven ability to implement and maintain systems that keep operations running smoothly — from onboarding to expense tracking
- Strong organizational skills with attention to detail, accuracy, and consistency across administrative and financial tasks
- Demonstrated ability to manage logistics related to hiring, onboarding, and internal processes
- Skilled at documenting processes, capturing meeting outcomes, and maintaining shared resources
- Comfort navigating fast-paced, remote work environments and adapting to evolving needs
- Bonus: Experience working in nonprofit, advocacy, or policy environments
- Education: Education or training in a related field—such as project coordination, nonprofit administration, operations, or business support—or an equivalent mix of formal education, lived experience, and community-based learning.
- Experience: Approximately 2–3 years of experience in coordination or administrative roles, where you managed internal systems, tracked projects or tasks, handled logistics, or supported day-to-day operations. This could include paid work, internships, or volunteer/community-based roles.
- Soft Skills: You're organized, dependable, and communicative. You bring curiosity, adaptability, and a collaborative approach to your work. You're comfortable juggling multiple tasks, following up on details, and working with a remote team.
