SUMMARY OF POSITION
The Business Services Coordinator supports custodial and groundskeeping operations to ensure services align with contract requirements, quality standards, and agency policies. This role collaborates with Custodial Technicians, Groundskeepers, managers, and internal partners to support daily operations, provide guidance and training, and encourage efficient service delivery across assigned facilities. Serving as a central point of contact, the Business Services Coordinator helps align schedules, tasks, documentation, and resources to meet contractual and operational expectations. ESSENTIAL RESPONSIBILITIES AND DUTIES
OPERATIONS (Service Delivery & Quality)
- Coordinate daily custodial and groundskeeping operations to ensure services are completed on time, within contract specifications, and in alignment with quality standards.
- Coordinate and provide directions to drivers of contracts reporting to this position, ensuring routes, schedules, and service needs support operational and contractual requirements.
- Communicate daily work plans, priorities, and location-specific requirements to custodial staff, groundskeepers, and drivers of contracts.
- Monitor service delivery and completed work to ensure consistency, effectiveness, and customer satisfaction across custodial, groundskeeping, and driving operations.
- Ensure compliance with agency policies, procedures, safety standards, and contractual requirements at all assigned facilities.
- Maintain working knowledge of custodial and groundskeeping materials, methods, and equipment to effectively support operational needs.
- Coordinate the proper use, care, and availability of custodial, landscaping, and contract-related equipment and supplies.
- Provide operational coverage and hands-on support as needed, including covering for temporary employees during unscheduled absences; assisting with shredding operations when required; performing strip and wax services at DPS Hangar twice per month; and supporting Wood Shop operations to ensure uninterrupted service delivery.
ADMINISTRATIVE (Documentation & Coordination Support)
- Complete and submit required daily documentation and reports, including time and attendance records, to support accurate operational tracking and compliance.
- Communicate with assigned locations at least twice per month, via phone or email, regarding performance feedback, service concerns, or customer complaints.
- Assist management with maintaining accurate records related to service delivery, employee support, and contract compliance.
- Communicate operational updates, service needs, and issues promptly to supervisors and appropriate stakeholders.
- Support continuous improvement initiatives by identifying opportunities to enhance workflow efficiency, service quality, and operational coordination.
- Prepare, submit, and manage purchase orders (POs) as needed in accordance with established purchasing policies and approval processes.
- Perform other related duties as assigned to support Business Services operations and departmental goals.
LEADERSHIP (Coordination & Staff Support)
- Reinforce safety expectations and proper work methods through hands-on instruction, observation, and corrective guidance to support a safe and compliant work environment.
- Monitor employee performance on the job site and provide real-time guidance to ensure assigned tasks meet quality, productivity, and contract standards.
- Support operational continuity by assisting with task coverage, work adjustments, and employee support during absences or changes in service demands.
- Assist with documenting training, coaching, and performance observations to support employee development and program accountability.
- Promote understanding of job expectations, work schedules, and service requirements to encourage reliability and consistent performance.

MINIMUM QUALIFICATIONS
- Minimum of one (1) year of related experience, including familiarity with OSHA safety standards
- Valid Texas Driver’s License with a clean driving record, required minimum liability insurance coverage, and reliable transportation
- Ability to meet all required Goodwill and customer security clearance requirements
- Strong communication skills, including the ability to read, write, and communicate effectively with staff at all levels
- Ability to motivate, support, and guide others in completing daily work tasks
- Availability to work flexible days and hours as operational needs require
PREFERRED QUALIFICATIONS
- Knowledge of local service organizations and community resources
- Experience working with individuals with disabilities and/or other barriers to employment
- Bilingual
PHYSICAL FUNCTIONS
- Ability to safely operate commercial custodial and landscaping equipment in accordance with safety guidelines
- Ability to work in varying environmental conditions, including hot, cold, humid, and dusty settings
- Ability to lift and carry up to 25 pounds independently and heavier items with two-person assistance
