Job Title:      School Secretary & Bookkeeper 

Terms of Employment:  12 Months

Pay Grade: 110

Job Summary:  

The purpose of this job is to contribute to the efficient operation of the school’s main office so that the office has a positive impact on school and community relations and maintains an effective role in the educational process.

Essential Duties

  1. Greets all visitors courteously, determines their needs, checks appointments, and directs or escorts them to the proper person/location.
  2. Handles the telephone system for the school office.
  3. Receives and routes all incoming mail.
  4. Maintains a daily attendance log for staff.
  5. Maintains receipts and disbursements for all school events/athletics.  Makes petty cash available, submits activity reports, pays officials and vendors.
  6. Purchases or requests bids for school or staff materials and supplies.
  7. Assists teachers and other staff members in preparing instructional materials and reports.
  8. Maintains the health room in the nurse’s absence, administers first aid, notifies parents of accidents or illnesses when necessary, and supervises the release of students to a responsible person.
  9. Ensures students are properly enrolled and maintains all permanent records of both current and former students at the assigned school. 
  10. Processes requests from students, colleges, and universities for student transcripts.
  11. Processes student transfers and ensures that student records are current; ensures student records are forwarded to other schools in a timely manner.
  12. Maintains the records room and all records - ensures each record is in accordance with BCPS policy.  
  13. Prepares correspondence, reports, and notices as needed.
  14. Operates the public address system, copy machine, and other office machines.
  15.  Performs related work as required. 

 

Minimum Education and Experience Qualifications 

High School Diploma or GED equivalent and two (2) years of clerical or bookkeeping experience.

Must possess and maintain a valid state driver’s license with an acceptable driving history.
