We are looking for a highly organized, detail-oriented Operations Manager to oversee our daily operations and help ensure our business runs efficiently.
This is a hands-on leadership position for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in keeping people and processes organized.
Responsibilities
The Operations Manager will oversee and coordinate a wide range of operational and administrative functions, including:
- Managing incoming phone calls and company email communications
- Processing weekly payroll
- Maintaining employee records and personnel files
- Coordinating employee background checks
- Managing dispatch operations and daily transportation logistics
- Overseeing vehicle maintenance scheduling and fleet records
- Tracking license renewals and regulatory compliance
- Managing and supporting employees
- Ensuring all operational spreadsheets and records remain accurate and up to date
- Managing E-ZPass accounts and payments
- Implementing and rolling out operational changes and procedures
- Creating and updating route sheets
- Managing GPS tracking systems
- Assisting with route planning and optimization
- Overseeing fuel/gas card management
- Coordinating student absence notifications
- Supporting employee training, onboarding, and HR functions
- Organizing and maintaining receipts and company documentation
- Identifying new business opportunities
- Preparing and submitting transportation bids
- Managing bid documents and performance bonds
- Coordinating required bi-annual employee training
- Reviewing and documenting incident reports
- Monitoring pre-trip inspection reports for compliance
- Preparing and processing invoices
- Performing additional operational duties as needed
Basic Qualifications
- Excellent communication skills, both verbal and written
- Strong organizational and time management abilities
- Professional demeanor with excellent customer service skills
- Highly detail-oriented with strong follow-through
- Proven problem-solving and critical-thinking skills
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Ability to prioritize multiple tasks in a fast-paced environment
- Ability to work independently while collaborating with a team
Preferred Qualifications
- Experience in fleet management
- Experience in school bus or transportation operations
- Dispatching or logistics experience
- Knowledge of DOT or school transportation compliance is a plus
