We are seeking an experienced Materials Management Assistant Manager with Workday Financial Management experience to oversee the hospital's materials and supply chain operations. This role is critical to ensuring timely procurement, accurate inventory management, and efficient distribution of supplies and equipment across the organization. The successful candidate will excel in managing supplier relationships, collaborating across the business, leveraging technology to streamline processes, and ensuring compliance with healthcare standards.
Responsibilities
Essential Job Functions:
Supplier & Vendor Management:
- Leverage Workday and other technology to update and maintain supplier information timely.
- Solicit and track vendor quotes in adherence with the procurement strategy.
- Oversee implementation and maintenance of supply programming across the organization
- Identify potential suppliers, conduct market research, and evaluate vendor capabilities.
Procurement & Requisitions:
- Lead and supervise a team of procurement staff, assigning tasks, monitoring performance, and providing coaching and development opportunities.
- Works with procurement staff to determine items that are good fits for inventory distribution and develops appropriate inventory levels and distribution strategies for these items
- Order materials and services.
- Manage and maintain the item master file.
- Review and process approved requisitions.
- Create and distribute purchase orders.
- Expedite orders and address vendor inquiries.
Order & Inventory Reconciliation:
- Reconcile purchase orders and resolve match exceptions.
- Research and resolve order exceptions.
- Adjust inventory counts and reconcile inventory balances.
Inventory Management:
- A thorough knowledge of warehousing, inventory control, and modern healthcare-related material handling systems
- Responsible for system configuration and administration within Workday.
- Create pick lists and replenish inventory.
- Perform cycle counts and oversee physical inventory checks.
- Resolves complex purchasing/inventory control problems
Other:
- Knowledge of regulatory standards and compliance requirements. Strong organizational, prioritizing and analytical skills.
- Research and assist Accounts Payable in resolving supplier account inquiries as needed.
- Regularly communicates with management staff to ensure alignment of Supply Chain Management objectives
- Provides positive leadership that effectively and efficiently manages and enhances staff morale through coaching, facilitating, supervising, developing, and motivating
- Helps set department goals/benchmarks and leads standard work reviews, audits, and imbedding process improvement as a continuous daily activity
- Establishes and maintains quality control standards in the department and assisting in the evaluation of supply/equipment products as needed
- Completes monthly reports to include quality measures, benchmarks and inventory controls statistics. Also performs data analysis, as needed relating to products and/or clinic supply costs.
- Write custom reports and dashboards in Workday to provide business intelligence across the Procurement-to-Pay lifecycle and Inventory Management processes

Education and Experience:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field preferred.
- 3 years of experience in materials management, inventory control, or procurement, preferably in a healthcare setting.
- Strong knowledge of inventory systems and supply chain best practices.
- Proficiency in Workday Financials Management and Microsoft Office Suite.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to lead a team and effectively communicate across departments.
- Previous lead or assistant manager experience highly preferred.
Knowledge, Skills, and Abilities:
- Understanding of inventory management principles, procurement practices, and logistics.
- Strong analytical and organizational skills.
- Effective verbal and written communication skills.
- Ability to prioritize, manage multiple tasks, and work collaboratively.
- Familiarity with lean principles or continuous improvement methodologies preferred.
Physical Requirements:
- Occasional bending, stooping, and reaching.
- Must be able to effectively communicate with staff, clients, and the public.
- Must be able to adapt to rapid changes in the healthcare environment.
