Primary Purpose
Support the campus PEIMS and attendance processes by maintaining accurate student records, attendance, and compliance documentation. Assist in registering students, entering PEIMS and LPAC data, and preparing reports to ensure district, state, and federal compliance. Serve as a key resource for the campus leadership team and collaborate with the district PEIMS Coordinator to ensure timely and accurate reporting. Uphold all confidentiality requirements and protect sensitive student and staff information in accordance with state and federal law.
Qualifications
Education
- High school diploma required
- Associate’s degree or course equivalent preferred
Experience
- Minimum two years of clerical, administrative, or student records experience, preferably in a K–12 school environment
- Experience with student information systems (Skyward or equivalent) preferred
- Knowledge of attendance reporting, PEIMS, and LPAC processes preferred
Special Knowledge, Skills, and Abilities
- Strong knowledge of student registration, cumulative records, and attendance procedures
- Proficiency in data entry and management of student information systems
- Ability to maintain confidentiality and adhere to all applicable state and federal privacy laws, including FERPA
- Knowledge of Texas Education Agency (TEA) PEIMS and student attendance requirements
- Excellent organizational, communication, and customer service skills
- Ability to work collaboratively with campus leadership, staff, and district personnel
- Attention to detail and accuracy in recordkeeping and reporting
- Bilingual Spanish/English fluency beneficial
Major Responsibilities and Duties
Student Registration and Records
- Input, update, and maintain accurate records of all aspects of student student information as it relates to Skyward and the campus level data entry connected to the Public Education Information Management System (PEIMS)
- Participation in district-wide and campus student registration efforts
- Update student records, including grade changes, schedule adjustments, and transfers.
- Prepare and send TREX (Transfer Request Exchange) requests and communicate receipt or status updates to relevant parties.
- Serve as the primary point of contact with the truancy officer regarding student attendance issues.
Attendance and PEIMS
- Maintain daily student attendance records and enter attendance data into the student information system.
- Enter PEIMS and LPAC data accurately and timely in accordance with district, state, and federal requirements.
- Prepare and submit attendance and registration reports for audits, state reporting, and compliance monitoring.
- Coordinate and document campus attendance meetings, including scheduling and recordkeeping for students requiring intervention.
Compliance and Confidentiality
- Ensure campus-level adherence to district, state, and federal compliance requirements for student records, attendance, and PEIMS reporting.
- Collaborate with the district PEIMS Coordinator to verify accuracy and completeness of submitted data.
- Maintain strict confidentiality of student, staff, and campus information in compliance with FERPA and other applicable privacy laws.
- Stay current with TEA reporting standards, updates, and deadlines.
Leadership and Collaboration
- Serve as a member of the campus leadership team, providing insight into student data trends, attendance issues, and records management.
- Communicate effectively with parents, staff, and district personnel regarding attendance, registration, and PEIMS-related matters.
- Assist in the training and mentoring of other campus staff regarding attendance and student record procedures.
Other Responsibilities
- Take initiative to develop professional knowledge relevant to PEIMS, attendance, and student information management.
- Perform other duties as assigned by the campus principal or PEIMS Coordinator.
Working Conditions
- Prolonged periods of sitting, computer use, and detailed data entry
- Frequent interruptions and multiple competing priorities
- Occasional extended hours for reporting deadlines or campus events
