We’re looking for a full -time Front Office Specialist

Interested parties should be highly customer service-oriented, gracious, hardworking, team-oriented, mature and confident communicators. Coordination of patients from start to finish of their experience is essential in the fulfillment of this job. This position is the first line of contact for patients and employees.
You will ensure that the front desk environment is clean, tidy, welcoming, and efficient. This position is accountable for the appropriate and efficient booking of appointments as well as all of the patient paperwork and/or charts. You will coordinate front-desk tasks, including distributing correspondence and redirecting phone calls. To be successful as a Front Office Specialist, you should have a pleasant personality, as this is also a customer service role. You must be able to deal with patient calls and requests in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Front Office Specialist's duties and responsibilities are to ensure the front desk welcomes patients positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
- Greet and welcome patients as soon as they arrive at the office
- Provide patients with appropriate paperwork
- Collect insurance information, copayment, etc.
- Direct patients to the appropriate exam rooms
- Answer, screen, and forward incoming phone calls
- Schedule and confirm patient appointments
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Maintain office safety by following safety procedures and controlling access via the reception desk
- Perform other clerical receptionist duties such as filing, scanning, photocopying and faxing
- Be team-oriented and assist the other office staff or providers as necessary
Skills
- Proven work experience as a Front Office Coordinator or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
Job Type: Full-time
Pay: $16.50 - $18.00 per hour
Expected hours: 40 per week
