Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office and providing exceptional support to both staff and clients. The ideal candidate will possess strong organizational skills, a customer-focused attitude, and the ability to manage multiple tasks efficiently. Bilingual candidates are encouraged to apply.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems, ensuring effective communication and phone etiquette.
  • Perform data entry tasks with accuracy and attention to detail.
  • Maintain organized filing systems for easy access to documents and records.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Utilize Microsoft Office and Google Workspace for document creation, data management, and communication.
  • Conduct bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
  • Proofread documents for accuracy and clarity before distribution.
  • Support office management tasks to ensure a well-functioning work environment.
  • Handling personal errands and task.

Qualifications

  • Proven experience in an administrative role or similar position.
  • Strong computer skills with proficiency in Microsoft Office Suite and Google Workspace.
  • Familiarity with QuickBooks is a plus but not mandatory.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong typing skills with attention to detail for data entry and documentation.
  • Previous experience as a dental receptionist or medical receptionist is advantageous.
  • Bilingual abilities are highly desirable for effective communication with diverse clients.
  • Demonstrated customer service skills with a focus on providing exceptional support.
  • Ability to manage time efficiently while handling multiple responsibilities.
  • Experience in clerical duties, including filing, proofreading, and general office support.
