What are the responsibilities and job description for the Real Estate office Administrator/ Assistant Property Manager position at Golden key real estate?
GENERAL RESPONSIBILITIES:
- Provide full administrative support, answering phones, handling Property Management calls or transfer callers to appropriate department. Taking down messages for employees, call utilities departments, responsible for front desk coverage to assist walk-in customers.
- Manage utility coordination for all move in's and out across all departments. Including verifying utilities are under current tenants' name, etc. Ensure all property files are prepared and maintained in an orderly and logical manner.
- Assist leasing agents with managing guest cards and coordinating showings. Also responsible for ensuring tenant information within the database is current and up to date.
- Ensure all property files are prepared and maintained in an orderly and logical manner, including leases and management agreements.
- Responsible for aspects of development and maintenance of a comprehensive Tenant information Package, including verify utilities are under current tenant's name, etc. Also responsible for ensuring tenant information within data base is current and up to date.
- Enter and close work orders into management system,communicate between contractors and tenants. Prepare and coordinate bid proposals and service contracts, participates in performance oversight of all service contractors who perform contract services.
- Collect rent payments received by tenant walk-ins and payments received by mail. Send late rent letters and general notices to tenants as needed.
- Assist with Next Steps emails, water leases and email to approved applicants. Also assist with Section 8/Voucher Programs ensuring required paperwork needed is completed and or submitted.
- Maintain master key list/lockbox list and the assigning of all keys being checked in or out of the office. Also, maintain spreadsheets as needed on the Google drive. Assist the Sales team by requesting and or following up on final water readings from the city of Detroit.
- Maintain a positive productive relationship with tenants, contractors and employees at all times.

Qualifications/Skills:
The position requires a minimum of 1 year in office administration or real estate property management. Minimum High School diploma. Must possess ability to understand and follow procedures. Self-motivated team player who is highly organized. Strong communication skills. Knowledge of routine office procedures is required. Proficient in Google Drive, Docs, and Sheets. Reporting skills, administrative writing skills, professionalism, analyzing Information, written and verbal communication.
