About the Role
This position blends client intake, front-desk reception, and day-to-day office operations. You’ll be the first point of contact for potential clients, manage high-volume scheduling, and support the internal team with smooth daily workflow. Your job is to keep the front end of the firm running cleanly and efficiently.
Key Responsibilities
Client Intake & Communication- 65%
- Serve as the first point of contact for all potential clients
- Conduct structured intake calls to assess case type, county, conflict checks, and attorney fit
- Schedule consultations promptly and accurately
- Follow up with leads to ensure no opportunity slips through the cracks
- Track all leads and communications in Clio and Lawmatics
- Responsible for the client experience during onboarding and offboarding
- Verify billing status for existing clients before scheduling calls
Reception & Front Desk- 25%
- Answer incoming calls with professionalism and urgency
- Manage the main office inbox and route messages appropriately
- Support attorneys with meeting logistics and scheduling
- Greet visitors and maintain a welcoming, organized front office
Office & Facilities Coordination- 10%
- Manage office supplies and vendor orders
- Maintain cleanliness and functionality of shared spaces
- Support light administrative tasks such as scanning, prepping files, and mail handling
- Report facility issues and coordinate basic on-site services when needed
Required Skills & Qualifications
- Strong phone presence and verbal communication skills
- Ability to stay calm, clear, and organized during high-volume periods
- Prior experience in intake, sales, reception, customer service, or administrative support
- Ability to learn quickly and follow structured procedures
- Tech-comfortable and able to work in cloud-based systems
- Professionalism, compassion, and discretion with sensitive information
Preferred (Not Required):
- Experience in legal, medical, or professional office settings
- Familiarity with Clio, Lawmatics, or other CRM platforms
- Background in customer-service roles where empathy and clarity matter
