Golden Heart Home Health Services, LLC is seeking a dependable, organized, and motivated individual to join our office team, part time!

We are looking for someone with at least one year of previous professional office or administrative experience, preferably within the home care, home health, or healthcare industry.

The ideal candidate is detail-oriented, professional, comfortable communicating with others, and capable of managing multiple responsibilities in a busy office environment.

This position will begin as part-time, with the potential to transition into a full-time role based on performance, business needs, and opportunities for growth.

While previous office experience is required, we are willing to train the right candidate on our specific systems, procedures, and industry requirements.

Job Responsibilities:

  • Answer incoming phone calls professionally, assist callers, and direct inquiries appropriately.
  • Communicate with clients, employees, case managers, insurance representatives, and other professionals.
  • Assist with daily office operations and general administrative duties.
  • Maintain accurate and organized client and employee records.
  • Assist with employee scheduling, service documentation, and office paperwork.
  • Work with Electronic Visit Verification (EVV) systems, including reviewing visit records and identifying discrepancies.
  • Maintain strict confidentiality and follow HIPAA privacy and security requirements.
  • Follow company policies, procedures, and applicable Minnesota DHS requirements.
  • Complete additional office responsibilities as assigned.

Required Qualifications:

  • Minimum of one year of previous professional office or administrative experience is preferred.
  • Comfortable answering phones and communicating with a variety of individuals.
  • Strong organizational skills and exceptional attention to detail.
  • Computer proficiency and willingness to learn new programs and software.
  • Excellent verbal and written communication skills.
  • Ability to multitask, prioritize responsibilities, and meet deadlines.
  • Dependable, punctual, and professional.
  • Ability to handle confidential information appropriately and maintain HIPAA compliance.
  • Ability to work independently while contributing to a team environment.
  • Willingness to accept constructive feedback, follow instructions, and continuously improve.
  • Willingness to complete all applicable Minnesota state-required training and certifications.

Required Training & Certifications:

Applicants must currently possess or be willing to obtain the following, as applicable to their assigned responsibilities:

  • CFSS/PCA certification and required training.
  • CFSS Steps for Success training.
  • Applicable Minnesota DHS training and certifications.
  • HIPAA privacy and confidentiality training.
  • Additional company-required training during onboarding and employment.
  • Clear DHS background study check

We will provide training and guidance throughout the onboarding process. Required certifications and training must be completed within applicable timeframes and before performing duties that require them.

Preferred Experience:

Preference will be given to applicants with previous experience in:

  • Home care, home health, or healthcare administration.
  • Minnesota CFSS and PCA programs.
  • Electronic Visit Verification (EVV) systems.
  • AxisCare, HHAeXchange, or similar home care software.
  • Service authorizations, scheduling, and healthcare documentation.
  • Minnesota DHS regulations and home care compliance requirements.
  • Employee onboarding and administrative recordkeeping.

Experience with EVV and Minnesota home care programs is strongly preferred but not required.

Training & Supervisory Period

We understand that every organization operates differently, and we are committed to providing the training necessary for the right candidate to succeed.

The selected candidate will complete an initial training and supervisory period. During this time, they will receive hands-on training, guidance, and ongoing feedback from management.

Performance will be evaluated based on:

  • Attendance, punctuality, and dependability.
  • Accuracy and attention to detail.
  • Professionalism and communication skills.
  • Ability to learn and apply new information.
  • Willingness to take initiative and accept feedback.
  • Ability to complete assigned responsibilities efficiently and independently.

What We're Looking For:

We are looking for someone who takes pride in their work, understands the importance of accuracy, and genuinely wants to be part of a team.

Our office handles many moving parts each day, and we need someone who can stay organized, adapt to changing priorities, and approach challenges with a positive, solution-oriented attitude.

We value employees who are reliable, willing to learn, comfortable asking questions, and capable of taking initiative without constant supervision.

We will provide training, but we are looking for someone who brings at least one year of professional office experience, a strong work ethic, and a willingness to grow with our company.
