Job Title: Customer Service

Position Overview
We are seeking a full-time Customer Service / Adminstrative Assistance to support our Private Investigation and Insurance Adjusting Trial Preparation Firm. In this role, you will be the logistical backbone of our operations—managing schedules, assisting with insurance-related investigations, and providing exceptional customer service that keeps our team and clients informed and on track.
Key Responsibilities
- Communicate with Insureds, Claimants & Contractors
- Maintain the firm’s master calendar—scheduling depositions, hearings, field investigations, and other critical activities.
- Coordinate daily assignments and availability for investigators, process servers, and senior staff.
- Track all case-related deadlines and calendaring requirements in accordance with state and federal insurance regulations & local court rules
- Confirm and communicate appointment details—including date, time, location, participants—with attorneys, adjusters, court personnel, and internal teams.
- Enter and update events accurately in the firm’s case management/calendar system
- Proactively identify and resolve scheduling conflicts, prioritize urgent matters, and make adjustment recommendations.
- Send calendar reminders and notifications to relevant staff and external parties.
- Provide outstanding customer service—answer internal and external calendar inquiries promptly via phone and email.
- Assist with preparation of scheduling reports, docket logs, and documents for court or client communications.
- Support senior staff and senior investigators, senior adjuster with various administrative tasks related to investigations.
Requirements
- Valid NYS Driver’s License and reliable personal vehicle (required).
- College Degree (2) preferred
- MUST BE Proficient in Microsoft Office (Word, Excel, Outlook).
- Strong attention to detail and communication skills.
- Customer-service focused with a positive, professional demeanor.
- Ability to work independently and as part of a team.
- Spanish language skills (a plus).
Preferred but Not Required
- NYS Notary Public License
