Job Summary
We are seeking a dynamic and organized Home Care Office Manager to lead our administrative operations and ensure the smooth functioning of our home care services. Responsibilities
- Manage daily office operations, including front desk duties, calling clients and employees, and greeting visitors with professionalism and warmth.
- Oversee scheduling management for caregivers, clients, and staff to ensure optimal coverage and service delivery by actively working with GEOH.
- Supervise administrative staff, providing training and development to foster a motivated and efficient team.
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting employee relations.
- Coordinate vendor management activities, including liaising with suppliers, service providers, healthcare partners, ADP, and affiliates.
- Manage the bookkeeping of office supplies.
- Maintain accurate filing systems for client and employee records, billing documents, licensing paperwork, training documentation, and other essential files in compliance with privacy regulations.
- Support medical office management tasks as needed, including appointment scheduling and documentation accuracy.
Skills
- Proven experience in office management or administrative roles within healthcare or home care settings
- Strong communication skills with excellent phone etiquette and interpersonal abilities
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
- Experience supervising teams and managing staff schedules effectively
- Proficiency in bookkeeping and budgeting tasks
- Knowledge of human resources practices, including onboarding, training, and development, and employee relations
- Familiarity with vendor management processes and contract negotiation
- Ability to handle clerical tasks such as filing, data entry, and front desk operations seamlessly
- Experience with medical office management procedures is a plus
- Skilled in calendar management for appointments, meetings, training sessions, and client/employee schedule management
