We operate in a busy, fast-paced environment and are looking for someone who can handle much more than traditional administrative duties.

The ideal candidate is a proactive, detail-oriented individual who can multitask, prioritize responsibilities, solve problems independently, and help oversee daily office operations.

We need someone who takes ownership of their work, anticipates what needs to be done, and can keep multiple moving parts organized without constant supervision.

This position plays an important role in coordinating customers, sales representatives, installation crews, vendors, scheduling, financial paperwork, and general business operations.

Key Responsibilities

  • Identify operational issues and proactively implement solutions.
  • Assist ownership and management with daily business needs.

Scheduling & Project Coordination

  • Coordinate customer consultations, installation schedules, service appointments, and follow-ups.
  • Communicate with sales representatives, installers, subcontractors, vendors, and customers.
  • Track projects from initial sale through scheduling, installation, and completion.
  • Coordinate material orders, deliveries, and project requirements.
  • Monitor project timelines and ensure necessary documentation is completed.
  • Handle scheduling conflicts, changes, and customer concerns.

Customer Service & Communication

  • Provide professional and responsive customer service.
  • Follow up with customers regarding appointments, project updates, and outstanding items.
  • Address customer concerns and assist in resolving issues.
  • Maintain consistent communication between customers, office personnel, and field teams.

  • Process vendor invoices and purchase orders.
  • Assist with payroll records, employee timesheets, and subcontractor payments.

Construction & Project Documentation

  • Assist with permit applications and inspection scheduling.
  • Maintain contracts, change orders, certificates of insurance, licenses, and compliance documentation.
  • Coordinate subcontractor paperwork and vendor documentation.
  • Maintain project completion paperwork and customer records.
  • Ensure project files are accurate, complete, and properly organized.

Qualifications & Requirements

  • Previous experience in office administration, office coordination, or assistant office management.
  • Experience working in a busy, high-volume office environment is strongly preferred.

  • Strong communication, customer service, and problem-solving skills.
  • Ability to work independently, take initiative, and make sound decisions.
  • Strong computer skills and experience with office software and CRM systems.
  • Comfortable handling scheduling, financial paperwork, customer concerns, and operational responsibilities.
  • High level of professionalism, accountability, reliability, and attention to detail.
  • Ability to adapt quickly to changing priorities.

Preferred Experience

  • Construction, home improvement, remodeling, or service-based business experience.

  • Wants to become a valuable, long-term member of our team.
