Summary

The Legal Executive Assistant (LEA) Group Leader/Office Coordinator serves in a dual leadership and administrative support role, providing high-level assistance to attorneys and paralegals while overseeing workflow coordination and support for LEA team members.

This position also serves as the primary point of contact for Green Bay office operations, ensuring efficient day-to-day office management and a positive experience for attorneys, staff, and clients. The role requires strong leadership, sound judgment, initiative, discretion, and the ability to manage multiple priorities in a fast-paced, collaborative environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Coordinate and manage LEA workflow, staffing assignments, workload distribution, and coverage needs.
  • Partner with Practice Group Leaders and Talent on recruiting, onboarding, training, employee development, engagement, and performance management initiatives.
  • Provide leadership, coaching, and support to LEA team members, including conducting performance reviews and facilitating ongoing development.
  • Monitor attendance, overtime, and time-off requests to ensure effective resource allocation.
  • Serve as the primary point of contact for Green Bay office operations, facilities coordination, vendor relationships, office logistics, and special projects.
  • Oversee office events, client visits, and onboarding activities.
  • Prepare, proofread, and finalize legal documents, correspondence, reports, and other materials.
  • Manage attorney and client communications, calendars, meetings, and business development contact information.
  • Foster collaboration and communication between the Green Bay office and other firm locations.
  • Lead the management and administration of a large volume of time-sensitive communications.
  • Enter new client and matter information and submit conflict checks in a timely manner.
  • Accurately enter and manage attorney time entries.
  • Manage attorney expenses and check requests.
  • Timely filing and maintenance of paper and electronic documents and records.
  • Assist in preparing, reviewing and finalizing client invoices.
  • Monitor and report timekeepers’ CLE credits.
  • Act as back-up for other LEA team members as needed.
  • Manage attorney board and other pro bono work.
  • Perform other duties as assigned.

ADDITIONAL REQUIREMENTS:

  • Bachelor’s degree or equivalent experience preferred.
  • 2-3 years of administrative support and/or leadership experience in a professional office environment.
  • 3-5 years of Labor and Employment or Litigation LEA experience, including knowledge of court documents, procedures, and filing in administrative agencies and State and Federal Courts preferred.
  • Proficiency in Microsoft Office Suite, Work10, and Adobe Pro.
