Program Description: The Baxter Safe Haven provides transitional housing to adults experiencing homelessness with the goal of permanent housing. On-site services include case management, entitlement assistance, medical and psychiatric care, substance use counseling, group activities, meals, recreation, and 24 hour/7 day per week front desk security.
Purpose of Position: The Residential Aid Supervisor oversees Residential Aids and ensures safe, consistent operations within Baxter Safe Haven, a 24-hour program. This role supports daily shelter operations, supervises staff, monitors documentation, and ensures compliance with agency policies and the requirements of the New York City Department of Homeless Services (DHS).
The Residential Aid Supervisor reports to the Program Director and works closely with the Assistant Program Director to ensure effective program operations and resident safety.
Schedule: This position supports a 24-hour Safe Haven program and requires schedule flexibility. Primary schedule: Sunday – Thursday, 4:00 PM – 12:00 AM
Shifts may occasionally vary to support program operations, including:
- Day shifts (7:00 AM – 3:00 PM)
- Midday shifts (12:00 PM – 8:00 PM)
- Overnight shifts (11:00 PM – 7:00 AM)
Flexibility is required to ensure adequate supervision and coverage across all shifts. The schedule may be modified at the discretion of program leadership based on operational needs, staffing coverage requirements, or program demands.
Salary: $66,300
Candidates must have the required qualifications to be considered for the position. The salary offer will be based on the candidate’s number of years experience in the exact or comparable position and additional preferred qualifications will be taken into account.
Qualifications:Roles, Responsibilities, and Essential Duties
Staff Supervision
- Supervise and support Residential Aids during assigned shifts.
- Ensure adequate staff coverage and communicate call-outs or staffing concerns to program leadership.
- Assist with securing staff coverage when call-outs occur and coordinate shift adjustments as needed.
- Provide guidance and leadership to Residential Aids and ensure duties are carried out according to agency protocols.
- Ensure Residential Aids facilitate resident engagement groups at least twice per month.
- Provide feedback to leadership regarding staff performance.
Program Operations
- Support daily shelter operations and manage the operations desk as needed.
- Monitor common areas and conduct regular walkthroughs to ensure safety and appropriate use of space.
- Confirm completion of daily room inspections, bed checks, and nightly bed counts.
- Assist in conflict resolution between residents when necessary.
Compliance & Documentation
- Ensure completion of required documentation including shift reports, incident reports, resident grievances, sign-in/sign-out sheets, and DHS BCS reports.
- Ensure documentation is completed accurately and submitted in a timely manner.
- Ensure program documentation and resident files are properly organized, maintained, and audit-ready in accordance with agency policies and New York City Department of Homeless Services requirements.
- Report operational or compliance concerns to the Program Director or Assistant Program Director.
- Final approval and sign-off on incident reports will be completed by the Program Director or Assistant Program Director.
Operational Coverage Requirement
Due to the 24-hour nature of the Safe Haven program, the Residential Aid Supervisor plays a key role in maintaining adequate staffing coverage. The supervisor is responsible for making reasonable efforts to secure coverage for Residential Aid shifts when call-outs occur. In situations where coverage cannot be secured, the Residential Aid Supervisor may be required to adjust their schedule or report on-site to ensure minimum staffing requirements are maintained and program operations continue safely.
Qualifications
- High School Diploma or GED required; Associate’s Degree preferred.
- Minimum 2 years of experience in a shelter, Safe Haven, or residential setting.
- Knowledge of NYC DHS procedures and reporting requirements preferred.
- Strong leadership, communication, and organizational skills.
- Ability to complete documentation accurately and maintain confidentiality.
- Food Protection Certificate required or must be obtained.
- Driver’s License preferred.
