Purpose:
Supports the overall student registrar/records operations of a statewide online program. The Senior Registrar Manager collaborates with other GOAL staff, reports to GOAL’s Senior Director of Accountability and abides by and supports the vision, mission, values, policies, and procedures of GOAL as well as relevant state policies and regulations.

Specific / General Responsibilities:

Collaboratively plan, coordinate, and oversee the statewide GOAL student registrar office and processes.

Continually monitor, evaluate, and recommend adjustments to ensure record accuracy and efficiency.

Recommend changes in record processes and policies when such changes serve the best interests of students and the organization.

Provides evaluation and supervision to the Registrar Generalists (formerly titled AA’s) assigned to the Registrar office to include:
- Train Registrar Generalist on all functions of the office, to include providing feedback on job performance to the Senior Director of Accountability;
-
Assign tasks to the Registrar Generalist to ensure the office maintains a 24–48-hour response rate on record requests.
- Ensure that assigned tasks completed by the Registrar Generalist are accurate and timely.
- Evaluates / approves Registrar Generalist’s Paid Time Off (PTO).
- Provides constructive feedback as needed and is responsible for annual performance reviews; and
- Works in collaboration with the Senior Director of Accountability on all Registrar department staffing issues and needs.

Provides support to the Principals/Assistant Principal/Dean about student record management.

Oversee or directly complete the tasks required in the Registrar office to include Accurate obtaining Student Identification Numbers (SASIDs) for incoming students obtained by Registrar Generalists.
- Print, sign, seal, and send official senior transcripts to colleges for admissions.
- Comply with confidentiality requirements and guidelines in the Family Educational Rights and Privacy Act (FERPA).
- Accurately process record requests from external organizations to include Social Security officials, Veteran Affairs, other school requests, attorneys, and subpoenas.
- Accurately process exit paperwork.
- Accurate and efficient preparation of diplomas and graduation documents.
- Efficient indexing and archiving of all records.

Works closely with the Senior Director of Accountability to ensure that all record requests are resolved in a timely manner.

Assists in fostering collaboration between multiple departments.

Trains multiple departments in FERPA requirements and processes.

Conducts electronic paperwork audits throughout the school year to ensure compliance.

Assists in student recruiting and retention.

Establishes and maintains collaborative working relationships with students, parents, external school staff, and GOAL staff to enhance the instructional environment.

Maintains a high level of communication (both orally and in writing) with other GOAL staff, students, and parents to deliver program information and address individual student needs.

Models professional and ethical standards when dealing with students, parents, staff, and community.

Associate’s degree required; bachelor's degree preferred.

Experience:

Minimum of three (3) years of experience in student records management or registrar operations.

Supervisory or lead experience strongly preferred.

Experience working with multicultural and/or at-risk student populations, alternative education, or online education environments preferred.
