Purpose of Job: 

The Business Services Specialist is a newly created, cross-functional role within GOAL Academy’s Business Services division—an umbrella that encompasses both the Finance and Operations departments under the leadership of the Chief Financial Officer. While this position reports directly to the Director of Finance, it is finance-adjacent in nature and serves both the Finance and Operations departments equally. 

 

The Business Services Specialist will serve as a key operational resource, supporting a broad and evolving portfolio of projects and ongoing responsibilities that strengthen the organization’s financial and operational infrastructure. The ideal candidate is a detail-oriented, technically proficient professional who thrives in a dynamic environment, excels at cross-functional collaboration, and brings practical experience working with external business partners such as vendors and landlords. 

 

Organizational Context: 

Business Services at GOAL Academy is composed of two departments that together support the organization’s financial and operational health: 

  1. Finance Department – Led by the Director of Finance; responsible for financial reporting, budgeting, compliance, and accounting functions. 

  1. Operations Department – Led by the Director of Operations; responsible for facilities, vendor relationships, asset management, and day-to-day operational functions. 

Both departments report jointly to the Chief Financial Officer (CFO). The Business Services Specialist will collaborate closely with both Directors and the CFO, providing relief from administrative and operational workloads and enabling senior leadership to focus on strategic priorities

Key Projects (Initial & Ongoing): 

The Business Services Specialist will be assigned to several identified projects upon hire, with additional projects arising on an ongoing basis as organizational needs evolve. Initial projects are expected to include, but are not limited to, the following areas: 

  

Document Management & Archiving 

  1. Lead the migration of business documents from legacy platforms to SharePoint, establishing organized and accessible digital archives. 

  1. Assist in transitioning files between SharePoint environments, ensuring continuity of folder structure, naming conventions, and access controls. 

  

Database Development & Administration 

  1. Assist in the development and ongoing maintenance of various operational databases, which may include areas such as vendor compliance, lease management, and contract tracking. 

  1. Ensure databases are well-structured, kept current, and accessible to relevant stakeholders across the organization. 

  

Purchasing & Vendor Accounts 

  1. Support efforts to evaluate and refine purchasing processes across the organization, identifying opportunities to improve efficiency and compliance. 

  1. Assist in establishing and administering commercial vendor accounts, including employee portal management, spending controls, and GL coding as applicable. 

  

System Implementations 

  1. Provide support for technology and system implementations related to finance and operations as they arise (e.g., ERP, fleet management, asset management, or other platforms). 

  1. Assist Directors and the CFO in advancing the organization’s financial reporting framework, including contributing to data structure and system integration efforts. 

  

Capital Asset Management 

  1. Assist in maintaining the organization’s capital asset records, ensuring accuracy of acquisitions, disposals, and related data. 

  

Additional Projects 

  1. Contribute to various other projects and initiatives assigned by the Directors of Finance, Operations, or the CFO. 

 

 

Ongoing Primary Responsibilities: 

In addition to project work, the Business Services Specialist will take ownership of the following recurring functions: 

  

Budget & ERP Administration 

  1. Manage and maintain organizational budgets within the ERP system; serve as a liaison between budget managers and the financial data in the system. 

  1. Perform periodic data exports and updates as needed to support financial reporting and ensure data accuracy across reporting tools. 

  

Student Fee Invoicing 

  1. Take ownership of and manage the student technology fee invoicing process, including generation, tracking, and reconciliation. 

  

Vendor & Contract Management 

  1. Manage vendor relationships on an ongoing basis, including communication, compliance monitoring, and issue resolution. 

  1. Support the contract management lifecycle, helping to ensure that agreements are current, accessible, and properly maintained. 

  

Lease Management & CAM Reconciliations 

  1. Assist in managing lease agreements across the organization’s locations, tracking key terms, obligations, and critical dates. 

  1. Support annual Common Area Maintenance (CAM) reconciliation processes, including review of landlord calculations against lease terms. 

  

P-Card Administration 

  1. Perform weekly Procurement Card (P-Card) reviews, including auditing cardholder transactions for policy compliance, verifying coding, and uploading to the General Ledger. 

  

Reporting & Ad-Hoc Support 

  1. Produce financial and operational reports as needed by Finance, Operations, or executive leadership. 

Respond to ad-hoc requests from the Director of Finance, Director of Operations, and CFO with professionalism and accuracy.

Working Conditions: 

  • This is an on-site or hybrid position based in Colorado. Occasional travel between GOAL Academy locations may be required. Standard office hours apply, with flexibility expected during high-volume periods such as fiscal year-end, audit season, or major system implementations.

Minimum Required Knowledge, Skills, and Abilities: 

  • Must reside in Colorado. 

  • Must possess a valid Driver's License 

  • High School Diploma or equivalent required 

 

Experience: 

  1. 4 years of office experience  

  1. 1 years of accounting and/or budgeting  

  1. Intermediate Advanced proficiency in Microsoft Excel, including experience with formulas, data validation, pivot tables, Power Query, and/or VBA macros. 

  1. Strong understanding of data structure and best practices—able to design and maintain organized, scalable databases and filing systems. 

  1. Real-world experience working with external business partners, including vendors, landlords, and service providers. 

  1. Strong technical aptitude, with the ability to quickly learn new software platforms and contribute meaningfully to system implementations. 

  1. Excellent written and verbal communication skills; able to interact professionally with internal staff at all levels as well as external partners. 

  1. High degree of attention to detail and organizational discipline, particularly when managing multiple concurrent projects and deadlines. 

  1. Demonstrated ability to work independently and take initiative without close supervision. 

 

 

Preferred: 

  1. Experience with SharePoint, document management systems, or digital archiving platforms. 

  1. Familiarity with ERP systems (e.g., LINQ, Sage, Frontline, or similar platforms used in K-12 education finance). 

  1. 2 years’ experience with lease administration, CAM reconciliation, vendor, and/or contract management. 

  1. Background in a finance-adjacent or operations role within a school, nonprofit, or multi-site organization. 

  1. Associate or bachelor's degree in business administration, Finance, Accounting, Information Systems, or a related field—or equivalent professional experience.
