Now, we’re seeking an Insurance Specialist based in our Newport Beach, CA.
The Insurance Specialist will be responsible for the administration, coordination, and management of the company’s insurance programs, including Auto, General Liability, Umbrella, and other business lines. This role ensures compliance with company policies, legal requirements, and carrier obligations while providing accurate documentation, claims support, and effective risk management practices. The Insurance Specialist will serve as the primary point of contact for insurance carriers, brokers, internal departments, and external stakeholders.
Key Responsibilities

Policy Administration
- Manage and maintain active insurance policies for Auto, GL, Umbrella, and business lines.
- Review policies and endorsements for accuracy and compliance with coverage needs.
- Track renewal dates and facilitate timely renewals in collaboration with brokers and carriers.
- Ensure certificates of insurance (COIs) are issued, collected, and monitored for accuracy.
- Collect COIs from service providers in compliance with company policies.

Claims Management
- Serve as the first point of contact for reporting, tracking, and resolving claims.
- Work with carriers, adjusters, and internal teams to ensure efficient claims processing.
- Maintain detailed claims records and provide reports for leadership review.
- Support root-cause analysis and recommend risk reduction measures.

Compliance & Risk Management
- Ensure company operations remain compliant with insurance requirements, contracts, and regulatory standards.
- Assist with audits, risk assessments, and coverage gap analyses.
- Monitor industry trends and advise leadership on insurance-related risks.

Stakeholder Support
- Collaborate with internal teams (Operations, HR, Legal, Finance, etc.) to align insurance programs with business objectives.
- Provide training or guidance on insurance processes, coverage expectations, and claims reporting procedures.
- Respond to internal and external inquiries regarding insurance coverage, COIs, and claims status.

Qualifications:- Bachelor’s degree in Business, Operations, or related field preferred; equivalent work experience considered.
- 2–4 years of experience in insurance administration, operations support, or a related role.
- Strong, solid knowledge of Auto, GL, Umbrella, EPLI, E&O, Cyber, and business/commercial insurance lines.
- Experience working with insurance brokers and carriers in an operations setting.
- Strong organizational skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent verbal and written communication skills.
- Strong attention to detail and ability to resolve issues proactively.
- Collaborative approach with strong interpersonal skills.
- Professional certification (CISR, CIC, etc.) is a plus, but not required.
- Experience supporting large, dispersed service-based operations across multiple locations and functions.
- Possess a valid, unrestricted Driver’s License with an impeccable driving history.
- Adherence to residency requirements facilitates work in the United States.
- Provide proof of Auto Insurance/Insurability.
