Summary:
The Gloucester County Chamber of Commerce (GCCC) seeks a qualified candidate to fill the newly created role of Operations Coordinator. This position offers an opportunity to play a key role in strengthening GCCC’s operational infrastructure while supporting the organization’s continued growth and service to the business community.

Operations Coordinator Description:
The Operations Coordinator will report directly to the Executive Director and serve as a key member of GCCC’s cross-functional team, coordinating the organization’s daily operational, financial, and administrative functions.
This role is responsible for managing essential business processes, maintaining accurate systems and records, supporting financial stewardship, and ensuring seamless internal operations while delivering a positive experience for members, partners, vendors, and stakeholders.
The ideal candidate will serve as a trusted resource to our business community, while helping to strengthen GCCC’s operational efficiency, accountability, and organizational effectiveness.
Job Responsibilities and Duties:
With guidance from the Executive Director, the Operations Coordinator will support GCCC in the execution of key operational, financial, and administrative functions. Key areas may include, but aren’t limited to:
Financial Administration
- Accounts Payable: Manage monthly accounts payable, including invoice processing, vendor payments, and payment scheduling.
- Accounts Receivable: Manage accounts receivable, including invoicing, payment tracking, deposits, and collections as needed.
- Accounting Support: Prepare financial documentation, reconcile records, serve as liaison to the Chamber’s accountant, and support Treasurer reporting needs.
- Banking Support: Manage banking activities including deposits, account maintenance, fraud prevention processes, Positive Pay administration, and banking correspondence.
- Payroll & Benefits Support: Assist with payroll processing, 401(k) coordination, and related compliance documentation.
Member and Systems Support
- Membership Renewals: Coordinate membership renewals, including periodic check-ins, billing, follow-up communications, and account updates.
- Annual Partner Support: Maintain aspects of the Annual Partner program, including benefit fulfillment, tracking, invoicing, and reporting.
- CRM & Systems Management: Maintain GrowthZone (our CRM platform) and other operational systems, ensuring accurate member records, data integrity, user access, and system optimization.
Operations and Administrative Support
- Vendor Management: Support new and existing vendor relationships, including contracts, renewals, performance tracking, scheduling, and coordination with technology, office, and service providers.
- Insurance Administration: Coordinate policy renewals, certificates of insurance, claims support, and carrier communications.
- Mail Management: Manage incoming and outgoing mail, including processing payments, correspondence, and package distribution.
- Front Office Support: Serve as the primary point of contact for inbound telephone calls, directing inquiries, and providing exceptional member service.
- Operational Support: Prepare reports and perform other operational, financial, and administrative duties in support of the Chamber's mission and strategic objectives.
Qualifications:
- Must be at least 18 years of age and legally authorized to work in the United States. GCCC does not provide visa sponsorship for this position.
- Must be able to reliably commute to GCCC’s office in Sewell (Gloucester County), New Jersey.
- Must be available to perform work during standard business hours.
- Minimum of two to three (2–3) years of experience in a similar position - or demonstrated transferable skills and experience in supporting organizational operations.
- Relevant experience in operations, financial administration, account management, or a related role.
- Experience working in a non-profit, membership organization, association, or small business environment preferred.
- Strong attention to detail, accuracy, and organization, with the ability to manage records, documentation, and multiple priorities effectively.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint required.
- Experience with CRM systems, databases, or membership management platforms preferred.
- Experience with QuickBooks or similar accounting software preferred.
- Excellent verbal and written communication skills, with a professional, diplomatic, and customer-service-oriented approach.
- Commitment to providing exceptional service to members, partners, vendors, and community stakeholders.
- Ability to work independently while collaborating effectively as part of a team.

Please note that this position is customizable – full-time or part-time – depending on the candidate’s experience, availability, and ability to meet the functions of the role. The benefits outlined reflect those available to full-time employees and will be modified for part-time applicants.
